Job Description:
We are currently looking for a friendly, confident, and energetic individual to join our team as a Customer Service Representative & Accounts Payable Administrator.
This role is ideal for someone who thrives in a fast-paced, customer-focused environment and enjoys helping people. The successful candidate will have strong administrative skills, excellent communication abilities, and a positive attitude when handling inbound customer calls and inquiries.
Experience in the plumbing, HVAC, construction, or service industry is considered a strong asset.
Responsibilities
Customer Service Responsibilities
- Be the first point of contact for inbound customer phone calls
- Answer customer inquiries in a professional, friendly, and confident manner
- Book and schedule service appointments accurately and efficiently
- Coordinate schedules and communicate appointment details with customers
- Deliver exceptional customer service and ensure customer satisfaction
Accounts Payable Responsibilities
- Obtain, organize, and accurately enter vendor invoices into the accounting system
- Accurately enter and reconcile company credit card transactions
- Match purchase orders, invoices, and receipts
- Prepare and process vendor payments
- Communicate with vendors regarding invoices, statements, and payment inquiries
- Review statements and resolve discrepancies
- Maintain accurate financial and supplier records
- Assist with expense tracking and month-end administrative/accounting tasks
- Assist office staff with general administrative duties as needed
Qualifications
- Minimum 2 years of administrative experience in a similar environment
- Strong customer service and communication skills
- Comfortable handling high call volumes and customer inquiries
- Professional, positive, and team-oriented attitude
- High attention to detail and accuracy
- Ability to multitask and stay organized in a busy office environment
- Basic accounts payable experience required
- Experience with QuickBooks required
- Experience with Jobber is considered an asset
- Experience in plumbing, HVAC, construction, or service industries is an asset
