About the RCEA
The Research Council Employees' Association (RCEA) is the certified bargaining agent representing employees at the National Research Council Canada (NRC). Based in Ottawa, the RCEA is dedicated to protecting and advancing the collective and individual rights of its members through representation, advocacy, collective bargaining, and member services.
The Position
Reporting to the President, the Administrative Assistant is the primary administrative support resource for the RCEA. The successful candidate will provide executive support, coordinate meetings and governance activities, maintain membership and organizational records, support member services, assist with financial administration, and help ensure the efficient operation of the RCEA.
Key responsibilities include:
Reporting to the President, the Administrative Assistant serves as the primary administrative support resource for the RCEA and plays a key role in the day-to-day operation of the RCEA. The position provides administrative coordination and support through scheduling, correspondence management, travel arrangements, and executive support to the President. The incumbent serves as the primary point of contact for members, visitors, and stakeholders; coordinates meetings, committee activities, conferences, training sessions, and the Annual General Meeting; and prepares agendas, minutes, reports, and meeting materials. The position also maintains membership records, databases, distribution lists, and administrative files; supports member services and communications activities; assists with invoice processing, expense administration, and contract records; maintains records management and governance documentation; and contributes to special projects and organizational initiatives that support the effective operation of the RCEA.
Qualifications
The ideal candidate will have:
A college diploma in administration, business, public administration, communications, or a related field (or equivalent experience)
At least five years of progressively responsible administrative experience
Experience supporting senior leaders, boards, committees, or organizational operations
Strong organizational, communication, and time-management skills
Advanced proficiency with Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint, and OneDrive)
Excellent judgment, professionalism, discretion and attention to detail
Experience in a union, association, not-for-profit, or member-service environment is an asset
Bilingualism (English/French) is preferred but not required

This is a fully on-site position located in Ottawa. Remote work is not available.

Salary: $49,665 to $65,854 depending on experience
