Job Summary
Reporting to the HR Manager, the HR Admin Assistant provides administrative and operational support to the Human Resources department, assisting with recruitment, employee relations, payroll, benefits and day-to-day HR processes within Tabor Village. In addition, this position also provides administrative support to the leadership team at Tabor as directed.
The HR Admin Assistant is a Tabor Culture champion and leads the organization by Engaging with our staff and other Tabor stakeholders, creating positive Experiences for them and Empowering them to deliver on the mission and vision of Tabor.
Duties and Responsibilities
· Recruitment:
o Prepares onboarding packages tailored to each position.
o Tracks Onboarding education requirements.
· Employee Records Management:
o Works collaboratively with the HR Manager to maintain the Human Resources Information System (HRIS – Comvida), ensuring employee records and personal information remain accurate, complete, and up to date.
o Tracks expiring licensing requirements and communicates with Senior Leaders on a timely basis to assist with completion.
o Sends reports to HEU and BCNU as directed by the HR manager
· Scheduling and Attendance Support:
o Initiates employee status changes and tracking completion as directed by the HR Manager
o Under the guidance of the benefits coordinator, initiates, tracks and monitors EDMP and DMI referrals and communicating to re- scheduling employee status/absences.
o Tracks Tabor wide casual hours and issues compliance letters to employees where required.
o Initiates requests for ROEs to payroll.
· Other HR support duties as directed by the HR Manager
· Administration Assistance:
o Update Yodeck (TV’s) monthly by gathering and organizing content from Clinical, Recreation, and Food Services teams, including menu updates and announcements.
o Maintain and update Constant Contact lists, including adding and removing tenant and family contacts as needed.
o Issue assign and track staff FOB/ID cards for all Tabor employees.
o Track weekly staff attendance, including early arrivals and late occurrences, and provide updates to leadership?
o Design and create posters for events, celebrations and internal communication.
o Prepare and send communication emails to staff, families, tenants and community members.
o Assist in HR projects to support the advancement and integration of key HR processes.
o Work closely with Team Leaders in supporting operational needs and team communication.
o All other duties as assigned.
Qualifications
Education, Training and Experience
o Grade 12, diploma in an administrative field preferred.
o 2 years of administration experience required; within healthcare an asset.
o Understanding of Human Resources roles and responsibilities an asset
o Training and experience using Canva, Publication software or demonstrated ability to learn.
Skills and Abilities
o Excellent computer skills (Word, Excel) and comfortable navigating social media and software platforms.
o Strong organizational skills and self-driven approach to resolving technical challenges.
o Effective oral, written, and verbal communication skills.
o General knowledge of various employment laws and practices.
o Ability to work in a team and exhibit a high level of confidentiality.
o Demonstrated ability to attend work on a regular basis and legally entitled to work in Canada
o Ability to provide a clear Criminal Record Check
