About the role
As a critical member of the Contracts team, the incumbent will have responsibility to provide functional and project related support to meet business needs. This role brings to bear domain expertise in executive assistance, administrative support and program execution.
The incumbent will perform a variety of administrative and functional duties for the Sr. Manager of Contracts, and the whole of the Contracts team. Such duties will include but not be limited to:

Travel booking and expense report preparation;

Prepares, administers and distributes Contracts specific business notifications including but not limited to Notice of Contract Award (NOCA);

Presentation preparation including but not limited to monthly Operational Performance Reviews (OPR) and functional reporting requirements. Includes the creation, management and presentation of Contracts performance metrics to demonstrate value add and contribution of Contracts work to overall business results.

Administrator and point of contact for the Contracts repository of information on Sharepoint and/or other business defined tools, which includes access permissions for personnel with a need to know;

Administrator and point of contact for all business required registrations including but not limited to Exostar, System for Award Management (SAM), Canada Buys, and other platforms as required;

Administrator and point of contact for continuous improvement initiatives and compliance with Contracts process documentation within the Canadian Command Media. This includes management responsibility for all digital logs used by Contracts and required by business process, such as Proposal Log, NOCA log, CSOR log, and other databases as required.

Reviews and proof reads letters and documents for the Contracts team to ensure quality content, correct formatting and grammatical correctness;

Overall responsibility for Contracts digital file management system and structure;

Coordinate schedules for the Contracts team and plan required meetings;

Attend weekly Contracts staff meeting;

Creates customer numbers in SAP as required, and liaises with Finance to manage; and

Other administrative duties as required.
The incumbent will also perform a variety of program specific duties in support of Contracts program execution responsibilities. Such duties will include but not be limited to:

Participation in weekly Contracts management status meetings (as required), document action items and track action item closure;

Track and manage Contracts program actions items, both for internal and external program obligations, to ensure timely responses;

Tracking and management of program specific directives, including but not limited to Stop Work Orders, Authorizations to Proceed (ATPs), and Change Orders;

Logging all program correspondence, both incoming and outgoing, and including applicable supplier correspondence that impacts contractual obligations;

If and as required by specific program needs, management and tracking of project based proposal activities, including updating proposal logs, cost account creation, filing proposal submissions and associated approval documents;

Contract amendment management and coordination;

Ability to use software tools including but not limited to DOORS, JIRA, and any other program specific tools required to execute contractual program responsibilities;

Drafting and preparation of program specific form letters, templates and presentations; and
-
Other duties as required.
What you bring to the role
- High school diploma or equivalent work experience/combined education, with additional specialized training in specific aspects or disciplines of the job function

Demonstrated ability to perform the assigned tasks (through past experience)

5 years or more of related experience, ideally within the defence sector

Technology savvy and has proficient working knowledge of MS Office tools and software

Dynamic personality and attitude and works well within a team environment
-
Requires minimal supervision and is a fast learner

Timely and accurate response time

Can apply advanced techniques and discipline in the execution of the role

Good analytical skills and detailed precision in performance
Language Requirements in Quebec
Knowledge of the English language is required for this role as the position described in this posting requires the candidate to communicate every day with a virtual team outside Quebec as well as communicate with different members of the organization, clients and suppliers located outside of Canada. For engineering positions, the candidate must also be able to read or modify technical documents from our main clients and write technical documents for these same clients.
