We’re looking for a Logistics Assistant!
This role supports the purchasing, inventory management, and logistics functions of the company by assisting in the procurement of local products, monitoring stock levels, coordinating deliveries, and ensuring accurate record-keeping. This role works closely with operations, warehouse team, and internal departments to ensure the timely and efficient flow of goods.

Job tasks and responsibilities
Local Purchasing Support Tasks
· Assist in issuing purchase orders, verifying pricing, processing payments, and maintaining accurate entries in ERP systems.
· Communicate with suppliers to confirm order details and ensure timely delivery of goods.
· Verify the configurations and dimensions of new products upon arrival at the warehouse, ensuring accuracy in inventory records and cost calculations.
· Collaborate with Sales and Marketing teams to manage stock levels effectively and prevent overstocking or understocking.
· Update and maintain product information in the inventory database, perform daily inventory checks.
· Assist in inventory cycle counts, spot checks, and month-end reconciliation; investigate discrepancies and support adjustments.
· Monitor product best-before dates and generate monthly aging reports; inform relevant teams of expiring or excess stock.
· Provide administrative support for warehouse documentation, stock transfers, and inventory inquiries.
· Assist in coordinating freight bookings and deliveries with local service providers, optimizing loads to reduce costs.
· Track shipment statuses, ensuring suppliers, shipping lines, and customs brokers release cargo on time.
· Verify transit times align with delivery schedules; coordinate urgent or time-sensitive shipments when required.
· Communicate with customs brokers to ensure accurate documentation, timely customs clearance, and resolution of shipment issues.
· Perform other ad hoc duties as requested by the supervisor.

Logistics Administration Tasks
· Organize, maintain, and file all shipment related documents, ensuring required information and supporting documents (e.g. proof of delivery, invoices, GRPOs, credit notes, and order confirmations) are complete, accurate, and properly recorded.
· Prepare and process administrative documentation for outbound shipments, including booking shipments, coordinating transportation, and maintaining accurate shipment records.
· Ensure all container GRPOs are properly signed by relevant personnel and filed accordingly.
· Scan and forward invoices, order confirmations, credit notes, reverse invoices, and other required documents to the head office team.
· Process drops shipment orders by issuing purchase orders to suppliers and preparing all necessary shipping and administrative documents.
Any other duties will be assigned to you from time to time.
