Position Summary
- The Veterinary Office Assistant supports Veterinarians and Veterinary Technicians in delivering high-quality patient care while providing exceptional customer service to clients and visitors. This role combines front-desk reception duties with hands-on animal care and hospital support functions.
- RAPS is a registered charity operating the RAPS Animal Hospital, Cat Sanctuary, Adoption & Education Centre, and three thrift stores. As a no-kill animal-serving organization, we are committed to the welfare of animals and the communities we serve.
- The Veterinary Office Assistant reports to the treating Veterinarian (DVM) on duty and works collaboratively with hospital staff to ensure the smooth operation of the clinic.
Key Responsibilities
Client Service & Reception
- Provide professional, compassionate customer service in person, by phone, and through electronic communications.
- Answer phones, schedule appointments, and follow up with clients.
- Process invoices, payments, and retail transactions.
- Welcome clients and patients, assist with check-in, and escort them to exam rooms as needed.
- Respond to client inquiries and direct medical questions to appropriate veterinary staff.
- Assist with mail, deliveries, and general reception duties.
Patient Care & Clinical Support
- Obtain patient information and assist with examinations.
- Record vital signs, including weight, respiration, and blood pressure.
- Collect and prepare laboratory samples (blood, urine, fecal, tissue) as directed.
- Assist with diagnostic testing under veterinary supervision.
- Restrain patients safely during examinations and procedures.
- Assist with radiology procedures and other diagnostic services.
- Prepare instruments, equipment, and medications as directed.
- Assist with medication dispensing and client instructions.
- Feed, bathe, comfort, and care for hospitalized animals.
Hospital Operations & Maintenance
- Maintain a clean, safe, and sanitary hospital environment.
- Clean and disinfect treatment, surgical, kennel, reception, and common areas.
- Prepare and maintain surgical suites and sterilize equipment.
- Ensure compliance with hospital safety and wellness protocols.
- Maintain accurate medical records and documentation.
Client Education
- Provide information regarding treatments, medications, wellness plans, and insurance options.
- Educate clients on home care instructions and general pet wellness.
- Direct clients to veterinarians when additional medical consultation is required.
Team Support
- Work collaboratively and professionally with staff and volunteers.
- Assist with hospital retail operations and other reception functions as required.
- Support other RAPS departments, including the Sanctuary, Shelter, Thrift Stores, and Administration, when needed.
- Perform additional duties assigned by the CEO, Hospital Manager, or Veterinarian based on operational needs.

- Veterinary Office Assistant certification or related training is an asset.
- Experience in a veterinary clinic or animal care environment is preferred.
- Knowledge of IDEXX EzyVet practice management software is an asset.

Pay: $19.00-$21.00 per hour
