The Role: What You’ll Do
This is a dynamic dual-role combining customer phone engagement with backend administrative precision (roughly a 70% phone/customer coordination and 30% warranty administration split).
Because every appointment booked directly drives our shop’s success, we view appointment coordination as a vital sales role. You won't just take calls—you'll consult with customers, build value in our maintenance services, and keep our service bays humming.
Key Responsibilities:
- Customer Coordination & Booking (70%):
- Handle incoming phone calls, online booking requests, and customer inquiries with high energy and professional phone etiquette.
- Actively listen to customer needs, educate them on recommended maintenance schedules, and book service appointments to optimize shop capacity.
- Perform outbound follow-up calls for unscheduled maintenance, open recalls, and service reminders.
- Build genuine customer relationships and provide a friendly, confident initial point of contact for Amherst Toyota.
- Warranty Administration (30%):
- Review, code, and submit factory warranty claims to Toyota Canada accurately and promptly.
- Monitor open warranty claims to ensure timely payment and resolve any rejected claims.
- Tag, organize, and track warranty parts for return or audit compliance.
- Maintain clean electronic records and precise schedule reconciliations in our Dealer Management System (DMS).
What We Are Looking For
- Key Skill: Exceptional communication and phone presence. You view phone conversations as opportunities to sell an experience and build value.
- Detail-Oriented: High accuracy when entering vehicle data, notes, and warranty claim coding.
- Experience: Dealership experience (Service Advisor, BDC, or Warranty Admin) or knowledge of Toyota systems is a great bonus, but not required! We will fully train the right person with the right attitude and strong interpersonal skills.
- Tech Savvy: Comfortable navigating digital databases, phone scheduling systems, and basic Microsoft Office.
- Reliability: Strong work ethic, punctual, and able to multitask in a fast-paced environment.

Pay: $35,700.00-$42,000.00 per year
