ROLE OVERVIEW
This role provides administrative and coordination support to Air Inuit’s Integrated Management System (IMS), Quality Assurance, and Safety Management System (SMS) programs, helping ensure compliance with safety and operational standards. The position is responsible for organizing and documenting safety and departmental meetings, preparing bilingual agendas and minutes, managing SMS reports and databases, maintaining employee training and compliance records, producing management reports, and supporting quality assurance initiatives. The ideal candidate is a highly organized, detail-oriented, and bilingual professional with strong analytical, communication, and problem-solving skills who can manage multiple priorities, maintain confidentiality, and contribute to the continuous improvement of safety, quality, and operational excellence within a dynamic aviation environment.
THE ROLE IN DEPTH

Participate in the company's safety management system.

Assist the Integrated Management System (IMS) and Quality Assurance-Flight Manager;

Prepare the following for bi-weekly SMS, Operations, and Departmental and monthly SST meetings:

Invitations
-
Agendas
-
Meeting minutes in English and French;
-
Create, update and follow-up on SMS reports in the database;

Prepare monthly reports on current SMS report files;

Maintain employee files and ensure their IMS training is up to date;

Maintain various lists and databases;
-
All administrative tasks deemed necessary by the immediate supervisor.

Support the team and department according to operational needs.
WHAT SETS YOU APART

Bilingual written and spoken (French/English), Inuktitut (an asset);

College Diploma or equivalent;
-
Ability to synthesize and summarize information;

Ability to deduce, analyse and problem solve;

Excellent interpersonal and communication skills;
-
Professional, responsible and reliable attitude and able to maintain confidentiality;

Good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook);

Excellent time and work management skills and ability to work autonomously and under pressure;

Detail oriented;

Familiarity with data entry into databases (an asset);

Experience in quality assurance and in the field of aviation (an asset).
COMPENSATION

Salary and benefits are determined according to company policy.
WORKING CONDITIONS

37.5 hours per week, Monday to Friday.

Possibility of one day work from home after probationary period.
