Office Assistant / Administrative Assistant
We are seeking a reliable, organized, and detail-oriented Office Assistant to join our growing construction team. The successful candidate will play a key role in supporting daily office operations, maintaining accurate records, assisting with project administration, and ensuring efficient communication between the office, clients, suppliers, and project teams.
Responsibilities
- Perform general office duties including data entry, filing, scanning, photocopying, and document management.
- Answer phone calls, respond to emails, and assist clients, suppliers, and subcontractors with inquiries.
- Maintain and update computerized records, databases, and filing systems.
- Schedule appointments, meetings, and coordinate calendars.
- Prepare, organize, and process invoices, purchase orders, work orders, and project documentation.
- Assist with bookkeeping tasks including accounts payable, accounts receivable, and invoice tracking using QuickBooks.
- Support construction project managers with administrative tasks, project tracking, scheduling, and document control.
- Coordinate with subcontractors, suppliers, and clients to ensure timely communication and project documentation.
- Prepare reports, spreadsheets, and correspondence using Microsoft Office and Google Workspace.
- Maintain office supplies and assist with other administrative duties as required.
Qualifications & Requirements
- Previous experience in an office administration or administrative assistant role is preferred.
- Experience working in the construction industry is considered a strong asset.
- Proficiency in QuickBooks for bookkeeping and invoice management.
- Strong working knowledge of Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Drive).
- Excellent organizational skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
- Ability to work independently while also collaborating effectively with a team.
- Experience with construction documentation, purchase orders, change orders, contracts, and project administration is an asset.
- Professional, dependable, and customer-service oriented.
