Job Summary
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience in medical or dental office settings is a plus, but not required.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry and maintain accurate records using QuickBooks and other office software
- Handle front desk responsibilities including filing, photocopying, and organizing documents
- Assist with administrative tasks such as proofreading correspondence and managing mail distribution
- Support bookkeeping activities related to billing and invoicing in QuickBooks or similar platforms
- Provide excellent customer support by addressing inquiries professionally and efficiently
- Maintain a tidy reception area to ensure a welcoming environment for visitors
Requirements
- Proven clerical or administrative experience, preferably in a medical or dental office setting
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tools
- Experience with QuickBooks or similar bookkeeping software is desirable
- Excellent organizational skills with attention to detail and accuracy in typing and proofreading
- Exceptional customer service skills with professional phone etiquette, including handling multi-line phone systems
- Ability to manage multiple priorities effectively in a busy environment
- Strong organizational skills with the ability to file documents systematically
- Prior experience in medical or dental office environments is advantageous but not mandatory
- High school diploma or equivalent required; additional administrative training is a plus
