The Essential Group operates Essential Landscaping Ltd. and Essential Disposal Services Inc. which are established, growing service companies based in Bolton, Ontario.
Essential Landscaping provides professional commercial landscape maintenance and snow removal services, while Essential Disposal Services provides waste bin rental services throughout the GTA.
We are looking for a highly organized, reliable, and professional Administrative Assistant / Office Coordinator to join our team and help keep our office running smoothly. This is an important role for someone who enjoys being busy, takes pride in staying organized, and can confidently handle customers, paperwork, scheduling, invoicing, and day-to-day office operations.
The right candidate will be motivated, outgoing, detail-oriented, and capable of working both independently and alongside management in a medium to fast-paced environment.
What You’ll Be Doing
This role includes a mix of customer service, sales support, bookkeeping support, office administration, and general coordination.
Responsibilities include:
- Answering, screening, and directing incoming phone calls
- Responding to general inquiries, sales inquiries, client emails, and vendor communications
- Quoting incoming sales leads and helping process work orders
- Creating invoices and processing customer payments
- Entering bills, expenses, receipts, and other records into QuickBooks Online
- Assisting with accounts payable, accounts receivable, payroll, and bookkeeping-related tasks
- Maintaining and organizing electronic and physical filing systems
- Supporting the Office Manager, Bookkeeper, and General Manager with daily administrative tasks
- Assisting with scheduling, office projects, and internal coordination
- Keeping office supplies organized and maintaining a clean, professional office environment
- Helping with other related administrative duties as needed
Who We’re Looking For

The ideal candidate will have:
- Strong communication, customer service, and telephone skills
- A professional and friendly attitude when dealing with customers, suppliers, subcontractors, staff, and visitors
- Strong organizational skills and excellent attention to detail
- The ability to multitask, prioritize, and stay on top of deadlines
- Confidence handling a busy phone line and multiple email accounts
- Strong problem-solving skills and the ability to take initiative
- Excellent English verbal and written communication skills
- Advanced working knowledge of Microsoft Word, Excel, and Outlook
- Complete working knowledge of QuickBooks Online
- A minimum of 2 years of office administration experience
- High school diploma required; post-secondary education in business or administration is preferred
Experience with payroll, accounts payable, accounts receivable, sales administration, or service-based businesses is considered a strong asset.

Schedule
Hours may fluctuate seasonally depending on business needs.
The successful candidate must be available to work:
- 3–4 days per week
- 20–30 hours per week
- Monday to Friday
- Flexible daytime hours
Compensation
Wage will be based on experience, qualifications, and overall fit for the role.
Wage Range: $21–$25 per hour
