Administrative Assistant
Urban Vinyl Signage
Urban Vinyl Signage is a busy, fast paced sign and print shop looking for a highly organized Administrative Assistant to support daily operations. This position plays a key role in keeping projects moving from quote to production to delivery.
This is not an entry level position. Preference will be given to candidates with sign shop or print industry experience.
We are looking for someone who is detail oriented, proactive, and comfortable managing multiple priorities at once.
Schedule
Monday to Friday
8:30 AM to 4:30 PM
Responsibilities
- Prepare and send accurate quotes and invoices using QuickBooks
- Confirm order details and specifications before jobs enter production
- Schedule jobs and coordinate timelines with the production team
- Order materials and supplies from vendors
- Respond to customer emails and phone inquiries promptly and professionally
- Follow up with customers regarding approvals, deposits, and order status
- Manage front reception and greet walk-in customers
- Answer phones and take customer orders
- Review customer artwork and files to ensure they are print ready
- Assist with packaging and shipping orders when required
- Learn and understand sign materials, vinyl products, and production processes
Required Qualifications
- Experience using QuickBooks (required)
- Strong organizational and time management skills
- Excellent written and verbal communication
- Ability to work in a fast paced production environment
- High attention to detail and accuracy
- Comfortable working with customers, vendors, and production staff
Preferred Experience
- Sign shop, print shop, or graphic production experience
- Familiarity with vinyl, signage, or print materials
- Experience reviewing artwork files for printing
