About the Role:
We are seeking a highly organized, tech-savvy, and emotionally intelligent Clinic Coordinator to be the operational backbone of our practice. You will be the first point of contact for our clients, guiding them through the assessment journey from initial inquiry to final billing with grace and professionalism. Beyond client care, you will act as a central hub for our testing team—coordinating schedules, training staff on our internal systems, and navigating the nuances of healthcare administration while upholding our clinic's mission.
Key Responsibilities
Client Intake & Journey Management
- Mission-Driven Hospitality: Serve as the welcoming face and voice of the clinic, fielding incoming inquiries, bringing in new clients, and booking initial appointments using our practice management software.
- Assessment Tracking: Manage the client roster within our custom clinic management system (Threshold Hub), ensuring clients are smoothly transitioned through various assessment phases (e.g., Pre-Assessment, Testing, Report Writing).
- Coordination: Strategically match clients with the appropriate testing clerks based on availability, case complexity, and specific testing needs.
- Family Care & Support: Provide compassionate, attentive childcare for children while their parents are in session with Dr. Derksen, ensuring a safe and comfortable environment so parents can focus fully on their assessment process.
Financial & Administrative Duties
- Estimates & Billing: Generate accurate quotes for assessment services, create invoices, process client payments, and respectfully follow up on unpaid accounts.
- Document Management: Securely scan, upload, and file sensitive testing protocols and medical history forms, maintaining strict adherence to privacy legislation (e.g., PHIA) and maintaining absolute confidentiality.
- System Navigation: Seamlessly operate between our practice management software and our custom operational dashboard used to track assessments - to update time logs, manage active workspaces, and trigger reports.
Leadership, Environment, & Ethical Problem Solving
- Clinic Environment: Perform light daily office cleaning and tidying to ensure our space consistently reflects a pristine, welcoming, and calming atmosphere for our clients and staff.
- Staff Onboarding: Serve as the primary point of contact for new testing clerks, training them on how to navigate the clinic’s software systems and standard operating procedures.
- Ethical & Compassionate Triage: Navigate basic ethical dilemmas and triage client needs effectively (e.g., recognizing urgent mental health flags and managing professional boundaries), always responding in a manner that reflects our commitment to care.
- Process Improvement: Help identify bottlenecks in the clinic's day-to-day operations and work with management to refine workflows.
Qualifications & Skills
- Mission Alignment: Comfortable working within a faith-based organization and interacting with clients, families, and staff in a way that reflects our core values of compassion, grace, and respect.
- Tech-Savvy: Highly comfortable learning and mastering new software. Previous experience with software systems including our custom database/dashboard systems is a major asset.
- Healthcare/Psychology Background: A background in psychology, healthcare administration, or social services is highly preferred to ensure a foundational understanding of clinical ethics and client care.
- Impeccable Organization: You can juggle scheduling puzzle pieces, financial data, and urgent client requests without letting details slip through the cracks.
- Communication: Warm, professional, and clear communication skills, both written and verbal. You must be comfortable discussing financial quotes and managing anxious clients with empathy and firm boundaries.
Compensation & Details
- Pay: $24.00 – $28.00 per hour (commensurate with experience). Note that the provincial minimum wage in Manitoba is increasing to $16.40 on October 1, 2026, making this a highly competitive and attractive rate for the right professional.
- Hours: Full-time hours during the day.
