NATURE & SCOPE
The Scheduling Coordinator reports directly to the Machine Shop Manager and is responsible for the updating and maintaining the spreadsheets associated with production, including but not limited to products, rework, walk-in work, programming, shop orders and shipping.
PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES
- Update machine production spreadsheet utilizing the daily item list, packing slips and shipping documentation on a daily basis to track progression and provide a forward looking capacity and capabilities summary.
- Retrieve and issue new shop orders to production operations.
- Enter walk-in jobs and complete the required external purchase orders to ensure job completion.
- Close out walk-in jobs in Unibis to ensure variance consistency.
- Enter initial products and rework products as necessary.
- Regularly update customer requirements summaries, including ship dates, and communicate any potential late deliveries to the Machine Shop Manager.
- pdate and maintain priority lists for higher demand machines.
- Update and maintain spreadsheet for jobs requiring programs.
- Provide shop order and ‘Request for Quotations’ (RFQ) information to project managers.
- Make any necessary corrections, revisions or changes to Shop Orders and RFQ’s.
- Create Purchase Orders (PO) for required outside operations and specific materials needed for jobs.
- Communicate with accounting department the deviations from standard routings to ensure variance consistency.
- Maintain customer timelines.
- Ensure required hardware has been ordered through Unibis.
- Ensure customer specific shipment requirements are followed.
- Regularly complete Work in Process (WIP) edits to ensure Shop Orders are properly sequenced.
- Issue Shop Orders to production operation based on customer requirements.
- Create required shipping paperwork including customs documents for international shipments.
- Update and monitor customers’ parts system.
- Requisition supplies for office and production operations as required.

- Coordinate and track the production assigned to each machine to ensure maximum operating efficiencies and schedule accomplishment.
- Confer with managers, supervisors and employees to determine scheduling requirements.

Education Requirements
· High school diploma or GED required.
· Diploma, certificate, or bachelor's degree in one of the following is preferred:
o Supply Chain Management
o Operations Management
o Business Administration
o Industrial Engineering
o Manufacturing Engineering
o Logistics or a related field.
· Training in ERP/MRP systems is highly desirable.
Experience Requirements
· 2–5 years of scheduling, production planning, or manufacturing coordination experience (depending on the role's seniority).
· Experience working in a manufacturing or production environment.
· Hands-on experience using ERP/MRP systems (e.g., SAP, Oracle, Microsoft Dynamics, Epicor, Infor, or similar).
· Experience coordinating production schedules to meet customer delivery requirements.
· Familiarity with inventory management, capacity planning, and production workflows.
· Experience working with cross-functional teams, including production, purchasing, quality, shipping, and customer service.
· Ability to prioritize multiple tasks and adjust schedules based on changing production demands.
· Experience analyzing production data and preparing reports using Microsoft Excel and other business software.
