Position Overview
We are seeking an experienced Operations Manager & Project Administrator to oversee the day-to-day administrative and operational functions of our growing construction company. This role is responsible for keeping projects organized, supporting field operations, and ensuring jobs move forward efficiently from planning through completion. The successful candidate will work closely with the owner, field staff, clients, suppliers, and subcontractors to keep projects on schedule, within budget, and running smoothly.
We're looking for someone who enjoys solving problems, improving processes, and taking ownership of their work while helping the entire team stay organized and productive.
Responsibilities
- Manage project schedules, budgets, documentation, and workflows within JobTread.
- Coordinate materials, deliveries, subcontractors, and inspections.
- Track change orders, client decisions, project delays, and outstanding tasks.
- Prepare purchase orders and obtain supplier pricing.
- Maintain organized project files, contracts, work orders, and company records.
- Coordinate payroll information, billing, and job costing documentation.
- Communicate professionally with clients, suppliers, subcontractors, and team members.
- Maintain the company calendar and coordinate weekly priorities.
- Support hiring, onboarding, and employee documentation.
- Proactively identify issues and recommend practical solutions to the owner.
- Develop and improve company systems, checklists, and workflows to increase efficiency.
Qualifications
- Experience in construction operations, project coordination, office management, or a similar role.
- Excellent organizational, communication, and time-management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Confident making decisions and following through to ensure accountability.
- Able to work independently, take initiative, and assume ownership of responsibilities.
- Proficient with Microsoft Office, email, and spreadsheets. Experience with construction management software (such as JobTread) is an asset.
- Experience with residential construction is preferred.
- Valid driver's licence.
