Carlton House of Oak Bay, an independent senior living residence, is looking for a Manager of Concierge Services to lead our front desk team and help make every resident, family member, visitor, and team member feel welcomed, supported, and cared for.
About the Role
In this role, you’ll be the steady, service-minded leader at the heart of our front-of-house experience. You’ll oversee daily concierge and reception operations, support clear communication, guide the front desk team, and help ensure our community runs smoothly with professionalism, warmth, and care.
Key Responsibilities
· Lead, coach, schedule, and support the front desk team.
· Oversee daily reception duties, including phones, visitors, messages, deliveries, and appointments.
· Respond to resident and family questions or concerns with professionalism, discretion, and care.
· Maintain front desk procedures, communication logs, schedules, and administrative systems.
· Work closely with care, hospitality, maintenance, housekeeping, recreation, and leadership teams.
· Support emergency procedures and help staff respond calmly and appropriately.
· Identify ways to improve communication sharing, organization, and the overall resident and visitor experience.
What You’ll Bring
· Experience in concierge services, reception, hospitality, senior living, property management, or another customer-facing setting.
· Team leadership experience, including scheduling, coaching, training, or daily performance support.
· Excellent communication, organization, and attention to detail.
· A warm, professional, and service-minded approach.
· Ability to handle sensitive matters with tact, confidentiality, and good judgment.
· Comfort using Microsoft Word, Excel, Outlook, and Publisher.
· A calm and compassionate response to urgent requests, complaints, or unexpected situations.
Schedule
30 hours per week — Sunday through Thursday, 9:00 a.m. to 3:00 p.m.
Compensation Package
Carlton House offers a starting annual salary of $43,680. However, this may be negotiable depending on experience, so please feel free to submit your expectations.
Additionally, we offer a full benefits plan, three weeks’ vacation, and an annual incentive bonus program.
Qualifications
· Secondary school diploma required; post-secondary education in hospitality, administration, business, or a related field is an asset.
· At least two years of experience in reception, concierge, hospitality, administration, or resident services.
· At least one year of supervisory or leadership experience preferred.
· Experience with seniors, families, or retirement living is an asset.
· First Aid certification and a Vulnerable Sector Check.
· TB test, flu vaccine, and proof of COVID-19 vaccination.
· Fluent spoken and written English is required.
