Optimum Pharmacy has been serving the community for over 10 years and continues to grow as an established independent pharmacy.
We are looking for an experienced Pharmacy Bookkeeper who understands bookkeeping fundamentals and can confidently manage day-to-day financial records with accuracy and consistency. Just as importantly, we want someone who can organize those records into clear monthly reporting that helps management understand how each part of the pharmacy is performing.
This role is ideal for someone who requires minimal supervision, takes ownership of their work, and contributes to maintaining organized, efficient, and insight-ready financial processes. The successful candidate will work closely with pharmacy management, vendors, and external accounting partners to ensure records are accurate, expenses are properly tracked, and reporting is completed on time.
What You’ll DoDay-to-day bookkeeping
- Record and maintain daily bookkeeping entries accurately and on time.
- Process accounts payable and vendor invoices.
- Reconcile bank accounts, credit cards, and cash-related transactions.
- Track and categorize pharmacy operating expenses, including occupancy costs, insurance, technology and communications subscriptions, professional and administrative fees, vehicle-related costs, and general operating supplies.
- Review recurring monthly expenses and ensure they are coded correctly.
- Support payroll review, expense allocation, and related administrative records.
- Maintain records for HST/GST, year-end tax support, and accountant handoff.
- Monitor outstanding vendor balances and follow up on discrepancies when needed.
- Maintain organized documentation for all financial and service-related expenses.
Reporting that supports decisions
- Set up and maintain expense and revenue tracking by service area, so the pharmacy can see performance for each line of business (dispensing, clinical services, compounding, retail, and more).
- Prepare a consistent monthly summary showing revenue, direct costs, and profit by service area to support management decisions.
- Assist with month-end and year-end financial reporting.
- Support management with expense summaries, cost tracking, and overall financial visibility.
- Review pharmacy-related reports and assist with basic reconciliation of inventory and operating costs when needed.
What You Bring (Required)
- Hands-on pharmacy accounting experience — this is a mandatory requirement for the role.
- 2+ years of bookkeeping or accounting support experience.
- Strong understanding of bookkeeping principles, account coding, reconciliations, and expense tracking.
- Experience with monthly recurring expense management and vendor invoice processing.
- Comfort organizing financial data into clear, repeatable summaries and reports — not only compliance bookkeeping.
- Strong attention to detail and the ability to work with confidential financial records.
- Good organizational and communication skills.
- Strong Microsoft Excel skills.
- Ability to work independently and manage multiple priorities.
Considered an Asset
- Proficiency with QuickBooks Online or QuickBooks Desktop.
- Experience using class, category, or segment tracking to produce management or departmental reports.
- Comfortable working with digital invoices, recurring bill payments, and electronic filing systems.
- Familiarity with Kroll.
