Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will manage daily administrative operations, provide exceptional customer service, and support various office functions. This role requires proficiency in office software, strong communication skills, and the ability to handle multiple tasks efficiently. Experience in medical or dental office settings is a plus, but not required. The Office Administrator plays a vital role in ensuring the smooth operation of our office environment and delivering excellent support to staff and clients.
Responsibilities
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks such as scheduling, record-keeping, and bookkeeping
- Support customer service efforts by assisting clients with inquiries and providing support via phone or email
- Handle administrative duties such as appointment scheduling, calendar management, and correspondence
- Maintain organized files both digitally and physically, ensuring easy retrieval of information
- Assist with billing, invoicing, and basic bookkeeping functions as needed
- Support medical or dental office operations by managing patient records, insurance documentation, and other clerical tasks
Experience
- Previous office experience is required; experience in medical or dental offices is highly desirable
- Familiarity with QuickBooks, Microsoft Office (Word, Excel), Google Workspace (Gmail, Docs), and multi-line phone systems is essential
- Strong data entry skills with high accuracy and attention to detail
- Clerical experience including filing, proofreading, and administrative support tasks
- Excellent organizational skills with the ability to prioritize tasks effectively
- Proven customer service skills with professional communication abilities both in person and over the phone
- Experience with front desk operations in a healthcare setting is a plus but not mandatory
- Ability to work independently with minimal supervision while maintaining a professional demeanor
Pay: $20.00-$28.00 per hour
