Commercial Project Coordinator
Ready-to-Install (RTI) Phase — Polaron Energy Corp.

About the Role
Polaron Energy Corp. is seeking a highly organized Commercial Project Coordinator to support commercial Solar, Battery Storage (BESS), and EV Charging projects during the Ready-to-Install (RTI) phase. This role manages projects from contract signing through pre-construction readiness, including customer communication, rebate applications, site assessment coordination, utility submissions, and permit applications.
Key Responsibilities
Project Intake & Customer Communication
Receive and onboard newly signed commercial projects.
Serve as the primary customer contact throughout the RTI phase.
Provide timely project updates and coordinate required documentation from customers and internal teams.
Rebate & Incentive Applications
Prepare and submit rebate and incentive pre-approval applications (e.g., IESO, Enbridge, utility programs).
Track application status and follow up with program administrators to ensure timely approvals.
Site Assessment Coordination
Conduct project pre-screening to assess eligibility and scope.
Schedule and assign site assessments to the appropriate field team members.
Draft and review Site Assessment Reports (SAR) for completeness and accuracy before handoff.
Utility & Permit Applications
Prepare and submit utility (LDC) interconnection applications in accordance with applicable requirements.
Prepare and submit municipal building and electrical permit applications.
Track approvals, respond to authority comments, and coordinate responses to information requests.
RTI Readiness & Handoff
Monitor project milestones, timelines, and dependencies.
Ensure all approvals, permits, and documentation are complete prior to construction handoff.
Maintain accurate project records in the company’s project management system.
Qualifications
Required
1+ years of experience in project coordination, project administration, or customer service.
Strong organizational skills with the ability to manage multiple concurrent projects.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace.
Preferred (Assets)
Experience in solar energy, renewable energy, construction, utilities, or engineering.
Familiarity with Ontario LDC interconnection processes, ESA requirements, or municipal permitting.
Experience using project management software (e.g., Zoho Projects, ClickUp, Monday.com, or similar).
Compensation & Benefits
Salary Range: $40,000 – $50,000 CAD annually (commensurate with experience)
