We have a full-time, in-office role for an Executive Assistant who enjoys creating order behind the scenes so our advisors can focus on what they do best - helping clients achieve their financial goals.
This isn't a receptionist position, and it isn't a typical administrative role. You'll become an essential member of our team, ensuring every client meeting is fully prepared, every document is accurate, and every client interaction reflects the professionalism our firm is known for.

What you'll be responsible for:
You'll own many of the administrative functions that keep our practice running smoothly, including:
- Preparing complete client meeting packages, reports, and presentations.
- Coordinating advisor calendars and scheduling client appointments.
- Preparing professional meeting notes and updating client records.
- Processing investment and insurance documentation accurately and efficiently.
- Preparing client correspondence and ensuring all documents are polished and professional.
- Managing confidential client information with care and discretion.
- Following up on outstanding administrative items to ensure nothing falls through the cracks.
- Supporting the Advisor, Associate Advisor, and Operations Manager with day-to-day administrative operations.
What success looks like within your first year:
- Advisors walk into every client meeting fully prepared without needing to assemble files themselves.
- Client meeting packages are consistently completed at least 2 weeks in advance.
- Investment and insurance paperwork is processed accurately and on time.
- Administrative tasks are completed proactively with minimal follow-up.
- Clients receive prompt, professional, and attentive service throughout every interaction.
- Your work helps the Advisor and Associate Advisor recover 10–15 hours each week to focus on serving clients.
What we're looking for:
Required Experience
- 3–5 years of experience as an Executive Assistant, Administrative Assistant, or Client Service Associate.
- Experience supporting multiple professionals while managing competing priorities.
- Financial services experience is considered an asset but is not required.
Technical Skills
You should be comfortable using technology every day, including:
- Microsoft Outlook, Word, Excel, and PowerPoint.
- Intermediate Excel skills, including:
- XLOOKUP
- VLOOKUP
- Working across multiple worksheets and workbooks
- Basic formulas and data organization
- PDF-XChange experience.
- Customer relationship management (CRM) software experience.

Compensation:
The annual salary for this role will be between $55,000 and $65,000 depending on experience and licensing.
