Job Summary
We are seeking an energetic, highly organized, and detail-oriented Project Administration Assistant to support our Project Coordinator and office team. This is primarily a desk-based administrative role that plays a critical part in ensuring projects move smoothly from the initial customer inquiry through scheduling, fabrication, and installation.
The successful candidate will be responsible for maintaining accurate project information, coordinating schedules, communicating with customers, ordering materials, and ensuring every project is organized and ready for production. Key Responsibilities
- Check and respond to voicemails in a professional and timely manner.
- Enter new customer inquiries and quote requests accurately into our system.
- Gather, verify, and maintain all information required for countertop quotations.
- Prepare quote files so pricing can be completed quickly and accurately.
- Perform high-volume, detail-oriented data entry while maintaining accuracy.
- Order quartz, granite, sinks, and other required materials once projects are approved.
- Coordinate supplier orders and ensure materials are received on schedule.
- Maintain and update production schedules, calendars, and installation timelines.
- Contact customers to confirm upcoming template appointments, installations, and project details.
- Keep remnant inventory organized and up to date.
- Maintain organized digital and physical project files.
- Assist with invoicing, bookkeeping tasks, and financial record keeping when required.
- Support project documentation, reports, and correspondence.
- Answer incoming phone calls professionally and provide outstanding customer service.
- Welcome showroom visitors and assist with general office operations.
- Work closely with our sales, fabrication, and installation teams to ensure projects run efficiently.
- Identify discrepancies or missing information before projects move into production.
Qualifications
- Previous administrative or clerical experience is am asset but not required.
- Excellent organizational and time management skills.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Comfortable managing multiple priorities in a fast-paced environment.
- Professional phone etiquette and customer service skills.
- Strong computer skills with proficiency in:
- Microsoft Office (Word, Excel, Outlook)
- Google Workspace
- General office software and databases
- Experience with QuickBooks or bookkeeping software is considered an asset.
- Experience with scheduling, project coordination, construction, cabinetry, or the countertop industry is beneficial but not required.

Pay: $18.25-$22.00 per hour
