The opportunity: The Project Coordinator supports the planning, coordination, and delivery of projects within the Digital & Data team.
Working alongside business users, vendors, and technology teams, this role helps translate organizational needs into structured project activities that deliver measurable value.
The Project Coordinator will manage a portfolio of concurrent initiatives, bringing clarity and structure to each workstream while acting as a collaborative partner to both business stakeholders and the digital & data team. This is a hands-on coordination role with a focus on execution, communication, and continuous improvement.
Key responsibilities include:
Project Delivery & Coordination
- Supporting end-to-end delivery of digital and data initiatives, tracking progress through each phase of the project lifecycle.
- Preparing and maintaining project documentation including work-back schedules, roadmaps, status reports, and capacity plans.
- Proactively identifying, logging, and communicating project risks, issues, and dependencies to the appropriate stakeholders.
- Coordinating operational readiness activities across teams (security, infrastructure, network, etc.) to support smooth releases and rollouts.
- Scheduling and facilitating scrum ceremonies, retrospectives, and ad-hoc meetings to resolve ambiguities and reduce delivery risk.
Stakeholder & Demand Management
- Coordinating with business users, product owners, and vendors to manage expectations transparently and realistically.
- Supporting the Demand Framework, including SLA monitoring and collaboration with Data Governance and Data Exploitation teams.
- Keeping all stakeholders informed on project status, milestones, and blockers through clear and timely communication
- Engaging relevant stakeholders (Compliance, Legal, Operations) at appropriate stages of each initiative.
Team Enablement
- Supporting team members through resource and release challenges, cross-team communication, and day-to-day coordination.
- Monitoring team capacity versus workload to flag imbalances and support timely delivery.
- Facilitating healthy communication and a constructive attitude across project team members.
- Contributing to the continuous improvement of team processes and productivity.
The ideal candidate will possess:
- Bachelor’s degree in business, Computer Science, Information Management, or an equivalent combination of education and experience.
- CSM, CAPM, PMP, or equivalent project management certification, considered an asset.
- 3 to 5 years of experience in a project coordination or junior project management role, preferably within a technology or data-focused environment.
- Experience supporting digital and/or data projects across multiple concurrent workstreams.
- Exposure to the Financial Services industry is considered an asset.
- Proficiency with the Microsoft Office suite (Word, Excel, PowerPoint, Teams, Outlook).
- Familiarity with project tracking tools (e.g., Jira, Azure DevOps, Confluence, or similar).
- Working knowledge of software development methodologies including Agile, Scrum, and Waterfall.
- Basic understanding of data and technology concepts (ETL, BI, cloud platforms) is an asset — deep technical expertise is not required.
- Strong organizational skills with excellent attention to detail.
- Ability to manage multiple competing priorities in a fast-paced, ambiguous environment.
- Clear and effective written and verbal communication across all levels of the organization.
- Solid problem-solving and critical thinking abilities.
- Collaborative mindset with a demonstrated ability to work across multi-disciplinary teams.
- Experience with project documentation: status reports, risk registers, roadmaps, and meeting facilitation.
Compensation and Benefits:
Range $68,000- $85,000 annually.
This range represents Wellington-Altus' expected range of compensation for this position. Actual compensation will vary and will be based on various factors, such as location, skills, experience, and qualification for the role. Compensation for part-time roles will be pro-rated based on the number of hours regularly worked.
Wellington-Altus' total compensation package for employees may also include discretionary bonuses as well as other perks and rewards. Wellington-Altus also offers health insurance, accident and life insurance, and other unique benefits per location.
