Job Summary
We are seeking a professional and organized Administrative Assistant/Receptionist to join our team. Duties
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage phone system, screen calls, and direct inquiries appropriately
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Handle filing, document management, and record keeping to maintain organized office files
- Assist with appointment scheduling and calendar management for staff and clients
- Support bookkeeping activities including basic invoicing and payments
- Provide customer support via phone, email, or in person, ensuring excellent service standards
- Proofread documents for accuracy and clarity before distribution
- Maintain a clean and organized reception area to promote a welcoming environment
- Perform general clerical duties such as photocopying, scanning, and mailing
Qualifications
- Proven experience in office administration or clerical roles; prior medical or dental office experience is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with keen attention to detail
- Effective communication skills, including phone etiquette and customer service expertise
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Experience with multi-line phone systems and front desk operations preferred
- Capable of typing accurately at a high speed and proofreading documents effectively
- Prior bookkeeping or data entry experience is advantageous
- Professional appearance and demeanor with a friendly attitude toward clients and team members
Pay: $17.20-$26.08 per hour
