POSITION DESCRIPTION:
The successful applicant will promote the values, principles, and services of the SEIU by providing general clerical and administrative support to assigned staff of the organization. The position will be responsible for welcoming and assisting visitors, members, or clients. The position also provides support for the organization by scheduling and preparing meeting rooms, coordinating staff travel, and ordering catering for meetings. The receptionist responds to all incoming calls to the organization’s main line and all faxes to the electronic fax folder.
The position holder will report to the Operations Manager and work in close coordination with Union Reps, finance, and others. This is a full-time, permanent position based at our Richmond Hill Office.
DUTIES AND RESPONSIBILITIES:

Answer main line and redirect calls.

Observe surveillance monitor, meet and greet visitors and members, maintain logbook, issue visitor badges, and direct members and visitors.

Oversee and distribute incoming faxes including maintaining electronic fax folder.

Receive/sort mail and ensure timely delivery.

Updating database with new and invalid addresses.
-
Prepare/receive courier packages to ensure timely delivery.
-
Organize and schedule conference room bookings.
-
Co-ordinate meeting setup/cleanup and order catering.

Organize travel arrangements, reservations, and flights for all staff and assigned members.

Provide general administrative and clerical support.

Control inventory and supplies relevant to reception area.

Coordinate with property manager for building related inquiries.

Ensure the reception area is neat, clean, and safe.

Prepare annual file folders for head office SEIU units.
-
Other duties as assigned.
EDUCATION

GENERAL REQUIREMENTS

Minimum 1 year directly related experience, preferably in a labor union environment.

Strong knowledge of Microsoft Office Suite (including Excel and Word).

Experience in a front-line customer service role an asset
-
Proficient in other languages like French, Tagalog, and/or Mandarin is an asset
