Position Summary
We are seeking a highly organized and detail-oriented Administrative Coordinator to support our day-to-day operations. This role is essential in ensuring the smooth delivery of our courses and programs by managing administrative processes, supporting technology needs, and maintaining clear communication with students and instructors.
This is a hybrid position, with a preference for candidates located in or near Woodstock, New Brunswick.
Key Responsibilities
Administrative Support
- Provide general administrative support including scheduling, document management, correspondence, and data entry.
- Coordinate calendars, meetings, and appointments for team members, instructors, and project activities.
- Prepare meeting agendas, take minutes when required, and distribute follow-up materials.
- Maintain organized electronic records, databases, and filing systems.
- Assist with internal coordination across team members and projects.
Course Registration & Program Coordination
- Manage course registrations, including processing enrollments, tracking participation, and maintaining accurate learner records.
- Coordinate course logistics, schedules, materials, and participant communications.
- Prepare and distribute course-related information, certificates, and evaluation materials.
- Monitor course attendance and support reporting requirements.
Communication & Customer Service
- Serve as a primary point of contact for students, instructors, partners, and stakeholders.
- Respond to inquiries in a professional, timely, and customer-focused manner.
- Send course confirmations, reminders, newsletters, and follow-up communications.
- Support communication activities related to educational programs and events.
Technology & Platform Support
- Provide basic technical support for Zoom meetings, webinars, and virtual learning sessions.
- Assist with user account management and troubleshooting across learning platforms and online systems.
- Support instructors and participants with accessing virtual sessions, educational materials, and resources.
- Assist with maintaining digital records and reporting within learning management systems.
Marketing & Design Support
- Assist in the development and formatting of promotional materials using Canva, including flyers, social media graphics, newsletters, presentations, and event materials.
- Support the creation and scheduling of content for social media, newsletters, and marketing campaigns.
- Ensure materials align with Beacon Clinical Group's branding and communication standards.
- Assist with website and learning platform updates as required.
Event & Meeting Coordination
- Support the planning and coordination of webinars, training programs, conferences, meetings, and special events.
- Manage registrations, participant communications, scheduling, and logistical arrangements.
- Assist with the preparation of event materials and post-event evaluations.
- Coordinate travel arrangements and accommodations for team members, instructors, and consultants as required.
Qualifications/Requirements
- Bilingual in English and French (required)
- Located in or near Woodstock, NB
- Diploma or degree in Office Administration, Business Administration, Communications, or a related field preferred
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Comfortable working with technology, including Zoom and online platforms
- Proficiency in Microsoft Office (Outlook, Word, Excel) or similar tools
- Ability to work independently and collaboratively in a hybrid environment
Preferred Qualifications
- Experience supporting virtual learning or training environments
- Familiarity with registration systems or learning management systems
- Previous administrative or customer service experience is considered an asset

Pay: $50,000.00-$60,000.00 per year
