Overview
We are seeking a detail-oriented and organized Administrative Assistant / Executive Assistant to support daily business operations and work directly with company management. This role involves administrative support, client communication, bookkeeping assistance, scheduling, social media support, and helping with the overall growth and organization of the company. The ideal candidate will have strong communication skills, professionalism, and basic knowledge of Canadian bookkeeping and accounting processes.
This position is ideal for someone who is proactive, dependable, organized, and interested in growing long-term within a professional accounting and business environment.
Responsibilities
- Work directly with management and assist with daily business operations
- Answer phone calls and communicate with clients professionally in English
- Manage schedules, appointments, meetings, and calendar organization
- Prepare and send invoices to clients and assist with payment follow-ups
- Support bookkeeping tasks and maintain organized financial records
- Assist clients with basic bookkeeping, GST/HST, payroll, and administrative questions
- Manage and respond to social media messages and online inquiries
- Handle administrative and clerical tasks, including document management and data entry
- Maintain organized filing systems and office records
- Support business development activities and assist with company growth initiatives
- Provide excellent customer service and maintain professional communication with clients
Skills
- Minimum 1 year of experience in administration, bookkeeping, accounting, or customer service
- Strong spoken and written English
- Basic knowledge of Canadian bookkeeping, GST/HST, payroll, and accounting processes
- Proficiency in Microsoft Office, Google Workspace, and QuickBooks is preferred
- Strong organizational and multitasking abilities
- Excellent communication and customer service skills
- High attention to detail and professionalism
- Ability to work independently and manage priorities in a fast-paced environment
- Social media and administrative experience is considered an asset
Position Details
- Part-time during the 3-month probation period
- Full-time position available after successful completion of probation
