About the Role
ProTorque is a growing oilfield services company operating across Canada and the United States. We are looking for a hands-on Field Operations Administrator to support our Grande Prairie-based field operations team.
This role is ideal for someone who understands the pace and detail of oilfield services administration. You will work closely with field staff, dispatch, operations, payroll, accounting, and management to make sure field tickets are complete, payroll information is accurate, purchase orders are created and monitored, expense reports are processed, and employee benefits administration is supported.
This is not a standard billing or AR role. While field tickets may eventually support invoicing, the main focus of this position is making sure the operational details are accurate before they move to the Finance function.
Key ResponsibilitiesField Ticketing & Operations Support
· Review field tickets daily for completeness, accuracy, coding, customer information, service details, and required approvals.
· Follow up with field employees, supervisors, dispatch, and operations to resolve missing or incomplete ticket information.
· Monitor ticket status and help ensure field work is properly documented in a timely manner.
· Support the flow of information between field operations, dispatch, payroll, and accounting.
· Maintain organized records of field tickets, approvals, supporting documents, and customer requirements.
· Submission of invoices in customer portals.
Field Payroll Calculation Support
· Collect, review, and validate field payroll information including hours, job details, field incentives, travel time, allowances, and other pay-related items.
· Compare field tickets, timesheets, job records, and payroll inputs to identify inconsistencies before payroll is processed.
· Follow up with field staff and managers to resolve missing or unclear payroll information.
· Prepare accurate payroll summaries and supporting documentation for review and processing.
· Support payroll cutoffs by keeping field payroll information complete and organized.
Expense Report Processing
· Review employee expense reports for receipts, coding, approvals, reasonableness, and policy compliance.
· Follow up with employees and managers on missing receipts, unclear descriptions, or incomplete approvals.
· Support timely processing of field and office expense reports.
· Maintain accurate backup documentation for accounting and audit purposes.
Purchase Order Creation & Monitoring
· Create purchase orders as required for field operations, vendors, repairs, supplies, and services.
· Monitor open purchase orders and follow up on missing receipts, approvals, or invoice matching issues.
· Coordinate with operations, vendors, and accounting to resolve PO discrepancies.
· Help ensure purchases are properly coded, approved, and supported before invoices are processed.
Benefits Administration Support
· Assist with employee benefits administration including enrollments, changes, terminations, employee questions, and supporting documentation.
· Maintain confidential employee benefit records and coordinate with internal stakeholders as needed.
· Support monthly benefits reconciliations and follow up on discrepancies.
· Help ensure benefit changes are communicated and processed accurately.
General Administration & Reporting
· Provide regular updates to management on outstanding field tickets, payroll items, open POs, expense reports, and benefit administration items.
· Support month-end processes by ensuring field operations documentation is complete and organized.
· Assist with ad hoc administrative, accounting, payroll, and operations support as required.
What We Are Looking ForRequired
· 3 or more years of experience in field administration, operations administration, payroll administration, or accounting administration, preferably in oilfield services or energy services.
· Strong understanding of field ticketing workflows and the importance of accurate job documentation.
· Experience reviewing field hours, timesheets, allowances, expenses, or payroll-related information.
· Strong attention to detail and ability to manage high-volume, deadline-driven administrative work.
· Comfortable following up with field employees, supervisors, dispatch, vendors, and internal departments.
· Experience creating or monitoring purchase orders.
· Strong organizational skills and ability to track multiple open items at once.
· Proficiency with Microsoft Excel, Outlook, and accounting or ERP systems.
Nice to Have
· Experience in oilfield services, drilling services, completions, rentals, trucking, maintenance, or other field-based environments.
· Experience with field ticketing systems, OpenInvoice, OpenTicket, Business Central, Expensify, or similar systems.
· Exposure to benefits administration or payroll support.
