As our team grows, we are looking for a motivated and detail-oriented Office Sales Assistant to support our dynamic team.
Job Summary: The Office Sales Assistant will play a vital role in the success of our team by providing comprehensive administrative and operational support. This position is the key point of contact for our customers, ensuring a seamless and positive experience from inquiry to delivery. The ideal candidate is a proactive communicator, highly organized, and thrives in a collaborative team environment.
Key Responsibilities:
- Provide support to the sales team by handling customer inquiries and processing orders via phone and email.
- Accurately enter and manage order data, customer information, and inventory in the system.
- Coordinate with the production team to manage and adjust lead times.
- Arrange product shipments, including scheduling pickups with courier companies.
- Create and issue invoices and other related documents.
- Arrange and dispatch product samples to current and prospective clients.
- Prepare materials and coordinate arrangements for trade shows and other company events.
- Provide general administrative support to ensure smooth operations, including maintaining a tidy office and common areas, and coordinating office supplies and service requests.
Required Skills and Qualifications:
- Diploma or degree from a post-secondary institution, or an equivalent combination of education and experience.
- More than 3 years of experience in customer service or a related administrative role.
- Fluency in English (both written and spoken) is mandatory.
- Customer focused with excellent communication and interpersonal skills.
- Strong organizational, multitasking, and time management skills with high attention to detail.
- A proactive team player with a positive and professional attitude.
- Proficient in Microsoft Office 365 (Excel, Word, Outlook, Exchange).
- Experience with ERP (Enterprise Resource Planning), CRM (Customer Relationship Management), QuickBooks. Fishbowl knowledge is a plus.
- Occasionally required to lift sample boxes (approx. 28 lbs)
- Valid Canadian driver's license.
Preferred Qualifications:
- Experience or a strong interest in the woodworking, interior design industry.
- A strong eye for color and an interest in interior design trends.
- Japanese communication ability is an asset.
- Interest in digital tools (social media, blogs).
