Overview of Position:
The Stock Transfer Administrator – Data Entry is responsible for the precise input of the shareholder information across multiple registrar systems. This role focuses on the lifecycle of data: entering, updating, and auditing records to ensure the highest level of accuracy and confidentiality. This individual is also responsible for various administrative duties within the Operations group.
This role is fully in office (5 days/week) - based in Toronto, ON.
Key Accountabilities:
- Batch Processing: Execute timely data entry of all batches, reviewing source documents for deficiencies and resolving discrepancies according to desk operating procedures.
- System Maintenance: Perform manual loading of records into registrar systems and update internal tracking tools, including Trello.
- Quality Assurance: Verify inputted data against physical and digital documents to ensure 100% accuracy and compliance with internal standards.
Operational Support: Support the team in resolving incomplete documentation by communicating requirements back to the appropriate stakeholders

Must have(s):
- Ability to prioritize, multi-task and meet strict deadlines
- Ability to analyze, problem solve and work independently with minimal supervision
- A working knowledge of the securities industry
- A willingness and ability to adapt to a changing environment and responsibilities
- Ability to organize and prioritize tasks effectively and communicate with peers and all levels of the company
- Must have a flexible schedule to work overtime as required

- Strong organizational, interpersonal and communication skills
- Excellent computer skills – MS Office Suite and Google Workspace
Previous experience in an office environment

Salary Range: $20 - $24/hr
