As an Administrative Assistant [Receptionist] your responsibilities will include:
- Provide reception and front-office support, including greeting visitors, answering and directing incoming calls, coordinating mail and courier services, and maintaining a professional and welcoming environment.
- Provide administrative support to partners, managers, and client service teams.
- Support the preparation, assembly, formatting, and proofreading of client deliverables, including correspondence, reports, financial statements, and tax returns.
- Maintain electronic and paper-based client files in accordance with Firm policies and procedures.
- Complete E-filings and other regulatory submissions as required.
- Coordinate calendars, meetings, travel arrangements, and other administrative support activities.
- Coordinate billing activities, including preparing invoices, running reports, and distributing related documentation.
- Support client relationship management activities using D365 and other Firm systems.
- Coordinate meeting logistics, presentations, catering, and other client and internal event requirements.
- Assist with office operations, including office supply management and workplace support activities.
- Collaborate with internal teams to deliver exceptional client service and administrative support.
- Participate in training and maintain current knowledge of Firm technology, software, and processes.
- Support special projects and other duties as assigned.

- 1–2 years of administrative, office support, or client service experience.
- Excellent written and verbal communication skills, with the ability to build and maintain strong professional relationships.
- Strong word processing and document formatting skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat; experience with Visio and other business applications is considered an asset.
- Demonstrated commitment to providing exceptional client service.
- Strong organizational skills with the ability to manage multiple priorities and meet competing deadlines in a fast-paced environment.
- Proactive, resourceful, and solution-oriented with strong problem-solving skills.
- Self-motivated with the ability to take initiative, follow direction, and continuously learn new processes and technologies.
- Demonstrates sound judgment, professionalism, and discretion when handling confidential and sensitive information.
- Strong attention to detail and commitment to producing high-quality work.
- Ability to work collaboratively within a team environment while also managing responsibilities independently.
- Flexibility to work overtime during peak tax filing seasons, as required.
- Ability and willingness to work from various office locations within the business unit as business needs evolve.

We benchmark regularly across a wide spectrum of roles, industries, sectors, and levels to ensure our ranges are both competitive and current. But we don’t stop there. We also consider the unique strengths, experiences, and impact each individual brings to the table. Our salary ranges are reviewed annually, and where you land within the range depends on a mix of factors—your background, your skills, and how your contributions align with internal equity. To help start the conversation, the current salary range for this role is $43,500–$61,500 in Vancouver. If the role is available in other locations, the range may differ to reflect local market factors.
This role is required to be onsite, in-office five days each week.
