Key Responsibilities
New Client Acquisition: Actively prospect, pitch, and secure new property owner clients to grow E and S Property Management's portfolio — this is a core, sales-driven component of the role
Owner & Tenant Liaison: Serve as the primary point of contact between property owners and tenants, ensuring clear communication, prompt issue resolution, and high satisfaction on both sides
Property Showings: Schedule and conduct property showings for prospective tenants, presenting units professionally and answering all inquiries
Lease Preparation & Administration: Draft, review, and execute lease agreements in compliance with Ontario's Residential Tenancies Act (RTA) and all applicable regulations, supported by AI-assisted document preparation tools
Leverage AI & Technology: Utilize the company's advanced AI systems and proptech tools as part of daily operations to streamline tenant communications, automate routine tasks, generate reports, and enhance decision-making
Tenant Screening: Coordinate and evaluate tenant applications, including credit checks, reference verification, and employment confirmation — supported by tech-enabled screening workflows
Rent Collection & Financial Reporting: Oversee timely rent collection and provide property owners with accurate, transparent financial updates through modern reporting dashboards
Property Inspections: Conduct routine move-in, move-out, and periodic property inspections, documenting conditions and coordinating any necessary maintenance
Maintenance Coordination: Manage and follow up on maintenance requests, liaising with vendors and contractors to ensure timely and cost-effective repairs, with admin support handling scheduling and follow-ups
Market Analysis: Stay informed on Ottawa's rental market trends, using data-driven insights and AI analytics to advise property owners on competitive pricing and strategies to minimize vacancies
Marketing & Advertising: Create and manage property listings across rental platforms to attract qualified tenants and reduce vacancy periods
Collaborate with Admin Team: Work closely with the in-house administrative support team to ensure seamless operations, accurate record-keeping, and efficient workflows across all managed properties
Qualifications
Required:
Minimum 1–2 years of experience in property management, real estate, sales, or a customer service-intensive role
Proven ability in sales, business development, or client acquisition — you're comfortable and confident building a new client base
Strong knowledge of or willingness to learn the Ontario Residential Tenancies Act (RTA) and relevant landlord-tenant legislation
Tech-savvy and adaptable — comfortable working with AI tools, property management software, CRM platforms, and digital communication systems
Excellent verbal and written communication skills — you can build rapport quickly and handle difficult conversations with professionalism
Exceptional organizational and time-management skills, with the ability to manage multiple properties and priorities simultaneously
Proficiency with the Microsoft Office / Google Workspace suite
Valid Ontario driver's license and access to a reliable vehicle (travel across Ottawa is required)
Professional, self-motivated, and able to work both independently and as part of a team
Preferred (Assets):
Ontario Real Estate License or relevant property management certification (e.g., CPM, RPA, or equivalent)
Experience using AI-powered tools, automation platforms, or proptech solutions in a professional setting
Established network of contacts within the Ottawa real estate or rental market
Bilingual (English/French) is a strong asset given Ottawa's bilingual community
Experience with rental listing platforms (e.g., Rentals.ca, Kijiji, Realtor.ca)
