ABOUT IPECC
IPECC Project Management is an Alberta-based Owner's Representative and project management firm with a mandate rooted in Indigenous economic development and community infrastructure. We partner with First Nations communities and Indigenous-led organizations across Canada to advance housing, social, and infrastructure projects from inception through to construction closeout and into long-term operations and maintenance.
We are not a general contractor. We sit on the owner's side of the table. Our role is to protect the interests of our clients, coordinate every phase of delivery, and ensure that projects funded through Indigenous Services Canada, CMHC, CIRNAC, and other streams are completed on scope, on schedule, and on budget. This work is meaningful, fast-paced, and requires people who take both accountability and partnership seriously.
THE ROLE
We are looking for an Intermediate to Senior Project Coordinator to join our Sherwood Park office. You will support Project Managers across a portfolio of active First Nations infrastructure and social projects. This is not a site-based role, but you will travel regularly to client communities across central and northern Alberta.
You will own project documentation end to end, manage the RFI and submittal processes, support tender and procurement, and serve as the organizational backbone of your assigned projects. You will work directly with Nations, funders, consultants, and contractors on behalf of our clients.
WHAT YOU WILL DO
- Own RFI, submittal, and change order tracking from issuance through resolution
- Coordinate project documentation across all phases, from preconstruction through closeout
- Support tender preparation, subcontractor evaluation, and procurement coordination
- Maintain accurate change notice and change order logs; prepare change order packages for PM approval
- Monitor project schedules and provide regular updates with input from the project team
- Assist with monthly progress invoicing and cost control reporting
- Prepare purchase orders and coordinate material procurement as directed
- Attend and support site meetings and project progress reviews
- Compile, track, and coordinate turnover and closeout documentation
- Assist with QA/QC tracking and project reporting using Smartsheet
- Support compliance tracking for funding requirements and reporting milestones
- Prepare and distribute daily, weekly, and monthly project reports
- Complete additional tasks and assignments as directed by the Project Manager or firm leadership

WHAT YOU BRING
- 2 to 4 years of experience as a Project Coordinator in commercial, institutional, or residential construction
- Demonstrated ability to read and interpret construction drawings and specifications
- Solid understanding of construction means, methods, and trade scopes
- Experience with document control, RFI management, and change order administration
- Strong working knowledge of project scheduling processes; ability to update schedules with PM using Microsoft Project
- Proficiency with Microsoft Office suite including Project, Excel, and Word
- Experience with Smartsheet or similar project management platforms
- Technical diploma in Construction/Building Technology or a related discipline, or a Registered Trade with field experience in a relevant trade
- Valid driver's licence and ability to travel to communities across central and northern Alberta
- Knowledge of federal and provincial workplace safety regulations and building code requirements
ASSETS
- PMP designation or active pursuit of PMP certification
- Experience working with First Nations communities or in a client-facing project management environment
- Familiarity with construction contract administration and owner-side project delivery
