Towers Realty Group is hiring for a friendly and welcoming individual to join our team. As the Receptionist, you will be the first point of contact for visitors to our office. You will enjoy a dynamic and interesting work environment with opportunities for learning and growth.
General Duties:
- Welcome visitors and clients and help them accordingly
- Check the Drop Box regularly and retrieve contents and distribute accordingly
- Check emails print reply or forward accordingly
- Check faxes and print/forward accordingly
- Check voice mail; forward to the correct mail box, or respond if necessary then delete.
- Answer phones and transfer to appropriate person. Take message if required.
- Send courier requests, note in logbook, print invoice & file in folder.
- Send out of town courier requests
- Print off emailed statement, highlight invoice numbers and attach invoices to monthly statements and forward to accounting
- Sign for courier deliveries & deliver to appropriate person.
- Send email to Resident Manager(s) if client calls in stating that they cannot get through to them for viewing of available suites and if not resolved, send an email to the Property Manager/Assistant.
- Receive, sort, date stamp, code where appropriate and distribute incoming mail
- Print emailed/faxed Residential, Condo and Commercial invoices. Stamp & code where appropriate & forward to appropriate assistant/ property manager
- Enter move in/out dates and tenant names on Residential Hydro bills for billing purposes.
- Ensure residential building hydro bills are stamped, coded and put in numerical order
- Ensure the reception area is clean and presentable.
- Keep the physical & online Front Desk Handbook up to date with all policies and procedures.
- Ensure that there are applications and forms available at all times.
Requirement:
- 1-2 years experience in Reception/front desk role
