Overview
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will have strong clerical skills, excellent communication abilities, and proficiency with various office software. This role is essential in maintaining smooth daily operations, providing exceptional customer service, and ensuring accurate record-keeping. Experience with medical or dental offices, QuickBooks, and Google Workspace is highly valued.
Duties
- Manage front desk responsibilities including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office and Google Workspace applications
- Handle filing, document proofreading, and organization of office files to ensure easy retrieval
- Assist with bookkeeping tasks using QuickBooks and maintain financial records as needed
- Provide customer support by addressing inquiries via phone or email, ensuring a positive client experience
- Support administrative tasks such as scheduling appointments, managing calendars, and coordinating meetings
- Support medical or dental office operations by managing patient or client information, verifying insurance details, and assisting with medical/dental receptionist duties
- Perform general clerical duties including typing correspondence, maintaining office supplies, and supporting team members with administrative needs
Qualifications
- Proven experience in an administrative or clerical role
- Proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic computer skills
- Experience with QuickBooks and bookkeeping is a plus
- Strong organizational skills with attention to detail in data entry and document proofreading
- Excellent customer service skills with professional phone etiquette for handling multi-line phone systems
- Ability to multitask efficiently in a fast-paced environment while maintaining accuracy
- Previous experience in front desk operations or medical/dental receptionist roles is desirable
- Demonstrated organizational skills, typing speed, and ability to manage filing systems effectively
- Qualifications
- Minimum of 2 years of professional administrative experience. High school diploma or equivalent secondary education
certification.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong written and verbal communication skills.
- Excellent time management and organizational abilities.
- Proven ability to work independently with minimal
supervision.
