Schedule: Sundays through Thursdays 10:00am - 6:00pm (Sundays 9am - 5pm). Some flexibility may be required.
The Program Coordinator, Children & Youth, is responsible for planning and implementing programs and services for children and youth (ages 0–12). Programming must be engaging, safe, and developmentally appropriate while fostering learning, community connection and Jewish values. This position develops, manages (including budgeting and reporting), and continuously improves programs, including seasonal registered programs, specialty camps, and birthday parties.
General responsibilities include recruitment, onboarding and supervision of part-time staff, scheduling, marketing, program evaluation, and reporting. The position is also responsible for communicating with participants and parents, providing guidance and recommendations to community program committees.
Develop, coordinate, and deliver creative, age-appropriate programming for children and youth (ages 0–12).
Ensure programs reflect JCC values and Jewish culture while being inclusive, educational, and engaging.
Create a welcoming and supportive environment for participants and their families.
Monitor participation, collect and analyze participant feedback, and evaluate programs on a seasonal basis to support continuous improvement.
Stay informed about trends and best practices in children's and youth programming.
Maintain accurate program rosters and attendance records and coordinate program registration, waitlists, transfers, and participant records using the registration system.
Ensure instructors have the schedules, participant information, equipment, and resources necessary to successfully deliver programs.
Process, maintain, verify, and submit HR and payroll documentation for part-time staff, as well as invoices from third-party service providers.
Ensure employment contracts and HR documentation are completed accurately and submitted on time in accordance with organizational policies.
Coordinate birthday party logistics, including facility bookings, staffing, supplies, and communication with families.
Monitor program spaces, supplies, and equipment to ensure they are safe, well-maintained, and appropriately stocked.
Coordinate equipment purchases and supply inventories within approved budgets.
Write grants as needed to support the department.
Program Promotion & Engagement
Collaborate with the Marketing department to develop promotional materials and communication strategies for children's and youth programs.
Build positive relationships with participants and families through timely, professional communication.
Develop and maintain positive relationships with instructors, contractors, schools, community organizations, and service providers.
Respond to participant and parent inquiries, concerns, and feedback in a prompt and customer-focused manner.
Promote programs to maximize community awareness and participation.
Support department and organization-wide events, festivals, and community initiatives as required.
In collaboration with supervisor, recruit, hire, onboard, and supervise part-time program staff, instructors, and volunteers.
Ensure all staff working with children and youth are appropriately screened and trained in accordance with child safety policies.
Develop staff schedules, conduct regular performance check-ins, and provide coaching, mentorship, and leadership.
Foster a professional work environment while ensuring compliance with JCC values, policies, and procedures.
Develop and manage program budgets for children's and youth programming.
Monitor revenues and expenses to ensure financial accountability and alignment with program objectives.
Process invoices, petty cash, credit card reconciliations, and participant refunds or credits in a timely manner, coordinating with internal departments and external service providers as required.
Prepare accurate revenue and expense projections for current and future programming.
Identify, research, develop, and submit grant proposals that align with organizational priorities to secure funding for programs, services, and strategic initiatives.
Risk Management & Child Safety
Ensure the health, safety, and well-being of participants by following organizational policies, emergency procedures, and child protection practices.
Respond to incidents, accidents, and behavioural concerns, completing required documentation and follow-up.
Ensure programs comply with organizational policies, licensing requirements (where applicable), and relevant health and safety regulations.
Support the movement of children and youth to and from pick up areas at the JCC.
Post-secondary certificate or diploma in Recreation Management or a related field.
One to two years of experience in program coordination or equivalent experience working with children in an educational, recreational, or community-based setting.
An equivalent combination of education, training, and experience that demonstrates the knowledge, skills, and abilities required to successfully perform the responsibilities of the position will be considered.
Considerable knowledge of the philosophy and objectives of community recreation programming.
Proficiency in Google Workspace, Microsoft Office Suite, including Excel, and familiarity with web-based registration or content management systems.
Ability to organize, promote, and lead a variety of recreational activities.
Ability to recruit, train, supervise, schedule, and evaluate program staff.
Excellent interpersonal, communication, and customer service skills.
Demonstrated ability to work collaboratively across departments while also working independently with minimal supervision.

Occasional lifting of up to 15 kg.
