Our platform helps property managers, boards, residents, and security teams streamline day-to-day operations, communication, payments, service requests, amenities, and community management.
We are looking for an Accounts Receivable Specialist to join our Finance team on a contract basis. This role will support day-to-day AR operations while the company transitions accounting systems from QuickBooks to NetSuite. The ideal candidate is detail-oriented, comfortable working in a fast-paced environment, and experienced with invoicing, collections, payment application, account reconciliations, and AR reporting.
Role Overview
The Accounts Receivable Specialist will be responsible for managing customer invoicing, payment posting, collections follow-up, AR reconciliations, and billing inquiries. This person will work across both QuickBooks and NetSuite during the transition period, helping ensure data accuracy, clean customer records, and a smooth migration of AR-related processes.
This is a hands-on role suited for someone who is organized, proactive, and comfortable working with both legacy and new accounting systems.
Key Responsibilities
Accounts Receivable & Billing
- Prepare, issue, and track customer invoices in accordance with contract terms and billing schedules.
- Maintain accurate customer billing records, including contact details, payment terms, tax information, and account status.
- Process recurring, one-time, and adjusted invoices as required.
- Review billing data for accuracy and completeness before invoices are sent.
- Investigate and resolve billing discrepancies, short payments, overpayments, duplicate invoices, and customer account issues.
- Prepare and process credit memos, invoice corrections, and account adjustments with appropriate approvals.
Payment Processing & Reconciliation
- Apply customer payments accurately and promptly in QuickBooks and/or NetSuite.
- Reconcile customer accounts and AR balances across accounting systems, bank deposits, and payment platforms.
- Research unapplied cash, misapplied payments, and outstanding credits.
- Support month-end AR close activities, including reconciliations, aging review, and reporting.
- Assist with maintaining clean AR subledger data during the QuickBooks to NetSuite transition.
Collections & Customer Follow-Up
- Monitor accounts receivable aging and follow up on overdue balances in a professional and customer-focused manner.
- Send payment reminders, statements of account, and follow-up communications to customers.
- Escalate collection issues or high-risk accounts to Finance leadership as appropriate.
- Work with Customer Success, Sales, and Support teams to resolve account disputes or service-related billing questions.
- Maintain detailed notes on collection activity and customer communication.
QuickBooks to NetSuite Transition Support
- Work in both QuickBooks and NetSuite during the system transition period.
- Assist with validating customer records, open invoices, credits, payment history, and AR balances between systems.
- Identify data issues, process gaps, or inconsistencies during migration and help resolve them.
- Support testing and process documentation for AR workflows in NetSuite.
- Help ensure accurate AR reporting and continuity of billing operations during the transition.
Reporting & Administration
- Prepare AR aging reports, collections updates, and customer account summaries.
- Provide regular updates to Finance leadership on overdue accounts, cash receipts, and AR trends.
- Maintain organized records of invoices, payment confirmations, customer correspondence, and reconciliations.
- Assist with audit requests, financial reporting support, and ad hoc finance projects as needed.
- Recommend process improvements to increase accuracy, efficiency, and visibility in AR operations.
Required Qualifications
- 2+ years of experience in accounts receivable, billing, collections, or accounting support.
- Experience using QuickBooks.
- Experience using NetSuite, or direct involvement in a NetSuite implementation or transition, is strongly preferred.
- Strong understanding of invoicing, payment application, account reconciliation, and AR aging.
- Proficiency with Microsoft Excel or Google Sheets, including comfort working with exports, reconciliations, filters, lookups, and data review.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to handle customer billing conversations professionally and tactfully.
- Comfortable working independently in a deadline-driven environment.
- Ability to manage confidential financial and customer information responsibly.
Nice to Have
- Experience in B2B SaaS, recurring revenue, subscriptions, property management, real estate, or condominium/HOA-related industries.
- Familiarity with Canadian sales tax/HST treatment on invoices.
- Experience supporting accounting system migrations, especially from QuickBooks to NetSuite.
- Experience working with customer success, sales operations, or support teams to resolve billing issues.
- Understanding of deferred revenue, contract billing, or subscription-based billing models.

The ideal candidate is a hands-on AR professional who enjoys bringing structure and accuracy to financial operations. They are comfortable working through system transitions, reconciling data between platforms, and following up with customers in a professional way. They are detail-oriented, organized, and able to balance day-to-day AR execution with transition-related cleanup and process improvement work.
Pay: $45,000.00-$60,000.00 per year
