Force Civil Solutions is one of Alberta's busiest residential civil contractors. We do the excavation, service connections, grading, and dirt management that gets new communities out of the ground for homebuilders across the Edmonton region. When a builder is ready to start a lot, we're the crew that makes it happen — on time, to spec, and coordinated with every utility and municipality involved.
The Role
This is the nerve center of our field operations. You'll own our central scheduling and service mailbox — the single point where builder job starts, purchase orders, permits, inspections, and utility coordination all come together. It's a high-volume, fast-moving seat: the inbox handles ~125 emails a day, and our standard is a first response inside ~20 minutes during business hours. If you thrive on keeping a hundred moving pieces organized and hate letting anything slip through the cracks, this is your job.
You are the link between builders, municipalities, utilities, our field crews, and the office. You don't swing a shovel — you make sure the shovel shows up at the right address, on the right day, with everything cleared and the permit in hand.
What you'll do
- Run the central scheduling inbox — triage ~125 emails/day, respond fast, and file every piece of correspondence into the right builder/customer account.
- Process builder job starts and purchase orders coming in through multiple builder portals and direct email — confirm scope, book the work, and close the loop with the builder.
- Schedule field crews and equipment for excavations, foundations, service connections (water/sewer), and grading — and confirm bookings with builders' head offices.
- Coordinate permits and inspections with municipalities (Strathcona County, Spruce Grove, St. Albert, and others) and utilities (ATCO, Encepta/Shaw drop program).
- Coordinate downstream trades — fibre installation readiness, electrical/service connection inspections, and follow-ups.
- Manage defect and deficiency notifications — log them, route them to the right crew, and track them to resolution.
- Keep everyone in sync — relay status updates between builders, the field, Construction Managers, estimating, and accounts payable.
- Support team admin flow — route timesheets and leave requests and keep job records clean.
What we're looking for
We're hunting for the next rockstar of the scheduling world — someone with great energy and a great personality who leaves the drama at the door. You're the calm, dependable person everyone's glad to have on the other end of the email, and you genuinely enjoy being the one who keeps it all running. Beyond that:
- 2+ years in scheduling, dispatch, or service coordination — construction, civil, utilities, trades, or land development experience is a big plus.
- Comfort with serious email and task volume. This is not a quiet desk. You stay calm, fast, and accurate when 100+ things are in flight.
- Elite organization and attention to detail. You can juggle dozens of active jobs across many builders without dropping one.
- Strong, professional written communication — you'll be the face of Force to builders and municipalities every day.
- Tech-comfortable. Heavy Outlook use, Excel, and a stack of web portals. As well as our in-house ERP. You pick up new systems quickly.
- Self-directed and dependable — you own your inbox and your outcomes.
Nice to have
- Direct experience with Hyphen / BuildPro, Assignar, or Sage.
- Familiarity with Alberta municipal permitting or service-connection processes.
- Background in residential land development, earthworks, or underground/civil construction.
