We are seeking a highly organized, proactive, and sharp Marketing Coordinator & Personal Assistant to serve as the direct right hand to our Director of Marketing.
This is a unique hybrid role designed for an ambitious professional who thrives on organization, execution, and executive support. You do not need a background or a degree in marketing to excel here. Your primary responsibility is to keep the Director organized, handle administrative logistics, and coordinate the moving parts of our department's daily operations.
The Growth Path: We view this position as a professional mentorship. As you master our internal systems and take daily administrative friction off the Director’s plate, you will receive direct, 1-on-1 coaching in marketing strategy, project management, and leadership—with the ultimate goal of transitioning into a Marketing Lead role within the company.
Key Responsibilities
- Executive & Personal Support: Manage the Director’s calendar, schedule meetings, prioritize daily action items, and handle administrative logistics to maximize the Director's efficiency.
- Project Coordination: Use department project management tools to track campaign deadlines, update task lists, and ensure the team stays on schedule.
- Data Entry & Reporting: Gather raw metrics from various platforms (website traffic, lead logs, campaign performance) and organize them into clean, structured spreadsheets for review.
- Vendor & Billing Administration: Act as a primary point of contact for external vendors and agencies, process invoices, and assist with tracking the departmental budget.
- Asset & File Management: Keep digital workspaces, asset libraries, photos, and marketing collateral meticulously organized and easily accessible.
- Meeting Documentation: Attend key meetings, take detailed notes, and distribute action items to ensure execution and follow-through.
For those with marketing knowledge and team leading experience - you will be given the space to present ideas and take on your own unique project if you wish, with available resources given to you. Strong bonuses are available for results-producing initiatives.
The Career Progression
- Phase 1 (The Foundation): Focus is heavily balanced on administrative support, personal assistance, and department organization. You will learn how our specific business operates and master our internal tools.
- Phase 2 (The Transition): As you master the operational basics, you will begin taking on direct execution of specific marketing tasks, collaborating on strategy, and learning the operational "why" behind our business decisions.
- Phase 3 (The Leadership Path): Managing vendor relationships independently, shadowing high-level decision-making, and preparing to step into a Marketing Lead position.
Qualifications & Skills
- Experience: 1–2 years of experience in an administrative support, personal assistant, office coordination, or customer-facing role. No prior marketing background required (although if you have experience, that would be an asset)
- Mindset: A strong "builder" mentality—hungry to learn, receptive to constructive coaching, and highly accountable.
- Organization & Detail: Exceptional organizational habits. You are someone who genuinely loves checklists, clear processes, and keeping digital workspaces clean.
- Software Proficiency: Strong working knowledge of standard office tools (Microsoft Office / Google Workspace, especially Excel/Sheets). Willingness to master project management platforms (like Monday.com).
- Communication: Highly professional, clear, and confident written and verbal communication skills.
What We Offer
- Professional Development Budget: You will receive a dedicated $5,000 CAD per calendar year budget allocated specifically for approved paid courses, certifications, and hands-on technical training. On-site or off-site.
- Direct Mentorship: You will receive ongoing 1-on-1 coaching and career mapping from the Director of Marketing as you hit key operational milestones.
- Work-from-Home (WFH) Day: You are granted one dedicated work-from-home day every Wednesday.
- Starting Base Salary: Your starting annual salary will be $50,000 CAD per year. Bonus compensation available for those candidates that are enterprising and can build value to the organization.
- Milestone Compensation Bumps: Successful completion of core operational training phases and progression toward Lead/Manager responsibilities will trigger scheduled salary reviews and adjustments toward the upper compensation tiers. At the very least, a salary increase to keep pace with inflation will be awarded on a yearly basis if only minimum role responsibilities are fulfilled.
- Travel & Gas Expense Allowance: For required travel between dealership locations, you will receive up to $200 CAD per month in covered travel expenses, reimbursed upon monthly submission of valid gas/travel receipts.
- Group Health Benefits: Full-time enrollment in our extended health, dental, and medical benefits plan.
- Paid Vacation: You will receive two (2) weeks of paid vacation per year to start, accrued in accordance with Alberta Employment Standards.
- Personal Time Off (PTO): You are allocated ten (10) PTO days per calendar year with a "No Excuses Required" policy.
