Job Description
We are seeking a detail-oriented and organized Administrative Assistant with scheduling experience to join our team. The ideal candidate will be responsible for assisting with various administrative tasks, including scheduling client visits, managing calendars, and providing support to our care team. This role is crucial in ensuring smooth operations and exceptional care delivery.

Responsibilities:
- Assisting in all schedule-related tasks including building, maintaining, updating, and distributing client and employee schedules
- Performs administrative duties to support operations including but not limited to completing and submitting administrative forms.
- Coordinate and schedule training sessions, develop training materials, and track completion
- Provide support to employees during training and evaluate program effectiveness
- Organizes and maintains distribution lists, filing and archive systems for documents, reference materials, contracts and other materials, in both paper and digital formats, ensuring confidentiality and retrieval of all materials.
- Interacts frequently with the other departments, employees and clients to obtain and provide information, often of a confidential nature.
- Engages with outside vendors and service providers as needed.
- Interacts with the health authorities and other agencies.
- Performs all other duties as assigned.
- Available to take on call once or twice a week
Qualification:
- Post-secondary education in relevant field or equivalent education and experience.
- 3-5 years proven experience in administrative support roles, preferably with a focus on scheduling.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively, multi-task and handle competing deadlines.
- Excellent attention to detail and accuracy in data entry and experience in scheduling
- Experience in supporting Management administratively is a strong asset.
- Demonstrated experience writing reports, correspondences and other communication pieces.
- Proficiency in Windows OS and MS Office Suite programs as well as Outlook.
- Strong aptitude to learn and use computer applications and software as required.
- Excellent communication and interpersonal skills.
- Able to maintain a consistent professional manner with both internal staff and external stakeholders and to maintain confidentiality at all times.
- Ability to work both independently and as a team member to achieve desired results.
- Strong work ethic, reliable and self-directed.
- Able and willing to embrace change and effectively manage stresses of a busy office environment.
- A current and original copy of a satisfactory Criminal Records Check required
- The use of Personal Protective Equipment (PPE) may be required
The ideal candidate must be available to work 9 am - 5 pm.

Salary: $50,000.00-$60,000.00 per year
