SCOPE
Reporting to the Manager, Faculty and Research Ecosystems, Digital Solutions, the incumbent is responsible for leading the analysis, design, and optimization of the Research Information Management System (RIMS), which supports the institution’s research lifecycle, from funding applications to compliance, ethics, and reporting. This role acts as a strategic liaison between research stakeholders and technical teams, ensuring that system functionality aligns with institutional goals and regulatory requirements.This position works closely with different internal clients (e.g. Office of Research, Finance, Office of Bursaries & Awards, Office of Provost, and Academic Faculties), enterprise and solution architects and governance committees to deliver value through system reliability and interoperability, seamless data flow, and alignment to institutional standards, as well as adherence to architectural standards and compliance requirements within the higher education environment.
PRIMARY RESPONSIBILITIES
• Lead the collection and analysis of business requirements from research offices, faculty, and administrative units.
• Translate business needs into functional specifications, workflows, and system configurations.
• Configure RIMS modules and workflows to meet institutional and regulatory requirements, including user roles, forms, notifications, and data fields.
• Provide ongoing support and maintenance for the system. Monitor integration systems to ensure data integrity and efficient performance. Troubleshoot and resolve integration issues in a timely manner.
• Maintain comprehensive documentation of application processes, configurations, and procedures. Develop and contribute to the production of standards, technical specifications and design documents.
• Lead the implementation and enhancement of RIMS components (e.g., grants management, ethics review, publications tracking, researcher profiles).
• Conduct gap analyses and feasibility studies to recommend system improvements or integrations.
• Collaborate with BRM, different teams, and stakeholders to ensure successful delivery of solutions. Participate in meetings and strategize planning and execution for delivery of solution.
• Mentor other analysts and contribute to continuous improvement initiatives.
• Assist with other IT projects as needed, providing functional expertise and cross-system coordination.
QUALIFICATIONS
• Bachelor’s degree in Information Systems, Business Administration, or a related field with four to seven years of experience in functional analysis, preferably in a research or higher education environment.
• Strong knowledge of research administration processes and compliance frameworks.
• Hands-on experience configuring RIMS platforms (e.g., InfoEd, Cayuse, Huron, Converis, or custom-built systems).
• Proficiency in business process modeling, requirements gathering, and documentation tools.
• Excellent communication, analytical, and stakeholder engagement skills.
• Knowledge/experience with Agile methodologies such as SCRUM and Devops/DevSecops.
• Experience with cloud technologies and PAAS, SAAS (Software as a Service) systems.
• Demonstrable capability with system architecture, business process analysis, computing, and middleware.
• Experience in gathering, understanding, documenting, and challenging business requirements.
• Experience with software configuration and functional testing.
• Knowledge of Microsoft Visio for process mapping.
• Good knowledge (Level 4) of spoken and written English, to give and understand complex explanations, hypothetical questions, or abstract ideas. Basic knowledge (Level 3) of spoken and written French.
• Highly organized team player who works well under pressure and with short deadlines.
• Ability to work in a service-oriented environment both independently and as part of a team.
• Demonstrated planning, organizational and decision-making skills, coupled with the ability to establish and respond to priorities.
• Strong communication and interpersonal skills.
• Self-starter with strong analytical and problem-solving skills, and the ability to motivate people in contextually conflicting circumstances.
• Experience working in a higher education or research-intensive environment is an asset.
• Familiarity with data privacy regulations and compliance frameworks relevant to research (e.g., GDPR, HIPAA, Tri-Agency policies) is an asset.
• Knowledge of integration tools and technologies (e.g., APIs, web services, ETL processes) is an asset.
• Experience with business intelligence or reporting tools (e.g., Power BI, Tableau, Cognos) is an asset.
• Understanding of identity and access management systems (e.g., SSO, LDAP, Azure AD) is an asset.
• Project management experience or certification (e.g., PMP, PRINCE2, Agile methodologies) is desirable.
• Experience working with other administration systems, such as SAP, Peoplesoft, and/or similar platforms is an asset.
