Operations Coordinator
First Baptist Church Halifax, a progressive and inclusive community, is seeking a highly organized, collaborative Operations Coordinator to support the functioning of our church community. This is a 1-year contract to fill a maternity leave.
This full-time, non-ministerial role requires initiative, adaptability, and the ability to manage multiple priorities, including facilities coordination. The successful candidate will be proactive, people-focused, and supportive of a welcoming, faith-based environment. The expected work week is Sunday – Thursday although, at times, work beyond these days may be necessary.
The Operations Coordinator (OC) reports to the Senior Minister and the Leadership Team (LT) and works alongside clergy, staff and volunteers.
The OC has duties in the following areas and may have other duties and responsibilities reasonably related to the position that may be assigned to ensure effective and efficient operations.
Office Administration and Communication
- Manage general office administration, including mail, phone, expense receipts
- Support volunteers and committees as necessary
- Record donation information
- Prepare and deliver bank deposits
- Coordinate schedules for Assistant Sextons and AV technicians
- Produce and distribute weekly News Notes and special communications
- Prepare slides for livestreaming and assist in livestreaming services
- Manage and maintain church social media platforms: Facebook, Instagram, and YouTube
- Prepare weekly announcements and sanctuary event signage
- Manage licenses
- Maintain and update the church's YouTube channel of worship services
- Maintain the congregational events calendar
- Maintains membership records and records of contact information
- Advertise and coordinate food and space set-up for in-church meetings and events
- Provide organizational support for off-site congregational gatherings
Building & Facilities
- Manage building rental requests: inquiries, agreements, invoices, calendar, and building access
- Manage building security: keys/fobs, intercom system, and alarm system
- Ensure routine building maintenance by maintaining a repair log and coordinating small repairs with the handyperson and Property & Maintenance Committee (PMC)
- Obtain and manage contractor quotes
Governance & Leadership Team (LT) Support
- Prepare agendas, meeting packages and minutes
- Attend and take minutes at monthly (evening) Leadership Team meetings
- Support LT members in carrying out their administrative responsibilities
- Maintain filing of meeting minutes and supporting documents
- Monitor critical compliance tasks (insurance, benefits packages, etc.)
- Maintain confidential personnel leave records (vacation, sick leave, parental leave)
Special Services (often outside of regular work week)
- Coordinate administrative arrangements for funerals and weddings
Education and Experience
- Post-secondary education or equivalent experience in a field that requires strong verbal and written communication skills.
- A minimum of 1 year experience working in an administrative capacity.
- Experience working for a nonprofit or faith-based organization is an asset.
- Up-to-date Criminal Records with Vulnerable Sector check
Competencies
- Proficiency in Google Workspace (Drive, Slides, Gmail, Calendar), and Mailchimp
- Experience managing social media platforms
- Comfortable with AV equipment, livestreaming and digital tools, and learning new software
- Proficiency with graphic design tools (ex. Canva)
- Excellent written and verbal communication skills
- Ability to work independently and exercise sound judgement with minimal supervision
- Strong attention to detail
- Ability to work to a deadline
- Able to respond on short notice in after-hours emergencies
- Ability to run errands (access to a car is an asset)

Compensation
- salary - $50,000 to $60,000 (dependent on qualifications and experience)
