Position Overview
The Operations & Administration Manager is responsible for providing operational, administrative, governance, procurement, project coordination, and executive support services to KBDC and its businesses.
The position plays a key role in supporting the day-to-day operations of KBDC and its business operations. This position is responsible for keeping office systems organized, supporting leadership and board processes, coordinating projects, and ensuring administrative and operational activities are completed efficiently, professionally, and on time.
The role supports multiple areas of the organization, including hospitality operations, procurement, administration, project coordination, communications, and operational systems. The Operations & Administration Manager is expected to identify issues, improve processes, and proactively help keep business operations running smoothly with minimal supervision.
This position requires strong organizational and communication skills, professionalism, discretion, sound judgment, and the ability to manage multiple priorities in a fast-paced and evolving environment. The role regularly handles confidential organizational, operational, financial, and board information.
Primary Responsibilities
Executive & Board Support
- Manage calendars, meetings, and scheduling for the General Manager
- Coordinate Board of Directors meetings
- Prepare agendas, board packages, and meeting materials
- Take and distribute clear, accurate minutes
- Track action items and follow-ups
Office & Operations
- Maintain organized filing systems (digital and physical)
- Manage office supplies, equipment, and administrative systems
- Support the development and organization of office procedures
- Keep day-to-day operations running smoothly
Procurement & Coordination
- Support purchasing for office and hospitality operations
- Source vendors, obtain quotes, and track orders
- Maintain procurement records and documentation
- Coordinate service providers, contractors, and operational vendors as required
Project & Research Support
- Assist with research, reports, and business initiatives
- Track project timelines and action items
- Support leadership with coordination and documentation
- Assist with internal tracking, reporting, and operational follow-up across KBDC businesses and initiatives
IT & Systems Support
- Provide basic tech support (computers, printers, phones)
- Coordinate with external IT providers
- Help maintain organized digital systems and shared drives
- Assist with the setup and rollout of new systems or tools
Other
- Provide operational and administrative support across KBDC businesses and projects as required
- Other duties as assigned
Requirements and Skills
- 3–5+ years in administration, office management, or similar role
- Diploma or certificate in Business Administration, Office Administration, Management, or a related field preferred. Equivalent experience will be considered.
- Experience in hospitality, economic development, Indigenous organizations, or multi-business operations is an asset
- Ability to work independently while supporting multiple departments and operational priorities
- Strong organizational and time management skills
- Experience supporting senior leadership or board processes is an asset
- Advanced English communication skills, both written and verbal, are required to prepare reports and correspondence, interact professionally with staff, guests, leadership, government representatives, business partners, and community stakeholders, and perform the administrative and supervisory duties of the position.
- Confident writing agendas, minutes, and professional documents
- Experience with SharePoint, Teams, Google Workspace, Sage, Cloudbeds, or project management systems considered an asset
- Ability to learn new software quickly
- Comfortable with technology and troubleshooting basic IT issues
- Ability to remain organized and professional while managing shifting priorities and deadlines.
- Strong attention to detail and ability to prioritize
- Self-starter who takes initiative and solves problems
- Ability to maintain confidentiality
- Willingness to support a dynamic and growing organization
- Understanding and respect for Indigenous communities, values, and governance structures are assets.
- Must possess a valid Class 5 driver’s license Travel between KBDC businesses, project sites, meetings, and partner organizations may be required.

Pay: $28.00-$31.00 per hour
