Job Overview
We are currently seeking a detail-oriented and organized Retail Accounts Assistant to join our team. The successful candidate will support daily order processing, invoicing, payment reconciliation, logistics coordination, and administrative functions for major retail and independent store accounts.
This position is ideal for someone who thrives in a fast-paced environment and has strong organizational, communication, and multitasking skills.
Duties
- Create and maintain up-to-date customer accounts.
- Process and manage customer orders for major retail accounts and independent retail stores.
- Coordinate approved orders with warehouse and sales teams to ensure timely order fulfillment.
- Generate sales invoices and maintain accurate inventory records.
- Record and reconcile customer payments, including cheque postings and invoice settlements.
- Process credit memos for returned, damaged, expired, or non-saleable products.
- Generate monthly customer statements and assist with collections and outstanding account follow-ups.
- Review and reconcile daily sales reports, invoices, credit memos, and transaction records.
- Upload invoices to vendor portals for payment processing.
- Maintain records of retailer compliance fines, deductions, and related documentation.
- Manage petty cash records and supporting documentation.
- Scan, organize, and maintain Proof of Delivery (POD) documentation for all shipments.
- Coordinate out-of-province shipments and logistics arrangements to ensure timely deliveries.
- Prepare picklists, packing slips, sample invoices, and other operational documentation.
- Create packing slips and assist with shipment documentation for various retail accounts.
Qualifications
- Previous experience in accounts receivable, accounting support, administration, or order processing preferred.
- Experience using QuickBooks required; knowledge of Pepperi, Katana, or ERP systems is an asset.
- Strong organizational and multitasking skills with excellent attention to detail.
- Proficient in Microsoft Excel and Microsoft Office applications.
- Excellent communication and coordination skills.
- Ability to work independently and meet deadlines in a fast-paced environment.
- Knowledge of retail distribution and inventory processes is considered an asset.

Pay: $17.85-$20.00 per hour
