Experienced Real Estate Administrative Assistant – Kalemi Team

Salary: $65,000 – $75,000 per year
Work Location: In Person
The Kalemi Team is seeking a highly organized and detail-oriented Real Estate Administrative Assistant to support the day-to-day operations of a busy real estate team. The ideal candidate is proactive, professional, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Coordinate real estate transactions from listing to closing
- Manage documents, contracts, deadlines, and compliance requirements
- Update MLS listings and assist with offer preparation
- Maintain client databases, calendars, and task management systems
- Coordinate with lawyers, mortgage professionals, photographers, stagers, and other vendors
- Create and update marketing materials using Canva
- Assist with social media content scheduling and engagement
- Manage incoming calls, emails, and general office communications
- Support bookkeeping, expense tracking, and administrative reporting
Qualifications
- 2+ years of experience in real estate administration, transaction coordination, or a similar administrative role preferred
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Experience with CRM systems such as Follow Up Boss or similar platforms
- Experience using DocuSign, SkySlope, WebForms, Canva, or similar software is considered an asset
- Ability to work independently and manage multiple deadlines
- Valid driver's license and reliable transportation required for occasional travel within the GTA
