Overview
Velcor Construction Services is seeking a motivated and detail-oriented Project Assistant to join our dynamic team. Reporting directly to the Construction Manager, the ideal candidate will play a crucial role in supporting various construction projects as well as our service department. This position requires strong organizational skills, exceptional written and verbal communication skills, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Duties
- Prepare detailed reports for meetings & document meeting minutes
- Collaborate with Construction Manager to gather essential project information, including drawings, specifications, and other relevant documentation.
- Project document creation and control responsibilities including, estimates, contracts, purchase orders, change requests, change orders, RFI, site submittals and all related correspondence.
- Email and telephone communication with clients, subtrades and vendors
- Project invoice preparation and tracking
- Project close out responsibilities including O&M Manuals
- Service work order preparation
- Service job invoice preparation
- Assist with company safety program including managing documentation and inventory requirements
- Proofread documents for accuracy and clarity before distribution.
- Manage filing systems to ensure easy access to important documents.
- Utilize computerized systems for tracking project progress and reporting updates.
- Support any additional administrative tasks as needed.
Qualifications
- Minimum 5 years experience in the commercial construction industry
- Understanding of construction processes, procedures and materials
- Exceptional written and verbal communication skills
- Proficiency in office software applications (e.g., Microsoft Office Suite) and data entry.
- Experience with Procore construction software an asset
- Excellent organizational skills with a keen attention to detail.
- Exceptional time management skills and the ability to prioritize tasks effectively.
- Experience with purchase order management, contract administration and scheduling
- Experience with proofreading and document management.
- Ability to work collaboratively in a team environment and maintain positive relationships with colleagues, clients, subcontractors and vendors.
- A proactive attitude with an ability to troubleshoot, willingness to learn and adapt as needed.

Pay: $28.00-$32.00 per hour
