About the Position
We are a family law firm seeking an organized, dependable, and professional Legal Administrative Assistant to join our team.
This position is well suited to someone who is detail-oriented, comfortable communicating with clients, and able to manage multiple files and deadlines in a busy legal environment. Previous experience in a law firm is an asset; however, we welcome applicants at all experience levels who are eager to learn and grow in the role.
Key Responsibilities
- Open, maintain, organize, and close electronic client files
- Maintain accurate file records and ensure documents are properly saved and organized
- Manage calendars, appointments, court dates, deadlines, and reminders
- Assist with the initial client intake process
- Prepare retainers, non-engagement letters, closing letters, and other client correspondence
- Communicate professionally with clients, opposing counsel, court staff, and other parties
- Prepare, review, serve, and file court forms and supporting documents
- File documents through applicable online court portals
- Assist with preparing, formatting, and taking out draft orders
- Assist with file-closing procedures
- Use Clio to manage client files, correspondence, tasks, and deadlines
- Use DivorceMate to assist with family law forms
- Provide ongoing administrative and clerical support to the lawyer and legal team
Qualifications and Skills (Preferred)
- Previous experience as a law clerk, legal assistant, or office administrator
- Law Clerk diploma, Legal Assistant diploma, or related education
- Experience in family law
- Familiarity with Ontario court forms, court procedures, service requirements, and online filing portals
- Knowledge of Clio and DivorceMate
- Proficiency with Microsoft 365/Office 365
- Strong organizational and file-management skills
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Ability to manage competing priorities and meet deadlines
- Professional and compassionate approach when communicating with clients
- Ability to handle confidential and sensitive information appropriately
- Reliable, punctual, and able to work both independently and collaboratively
- Willingness to learn new legal procedures and office systems
