The Assistant Service Co-Ordinator is responsible for coordinating service work, including call in-take, job tracking, scheduling assistance, and customer service. They will assist the Service Manager manage a team of roofing technicians, ensuring that customer requirements are met promptly and efficiently. The ideal candidate should have a strong background in administration, excellent organizational and be a self-starter, with the ability to effectively communicate with both internal teams and external clients/contractors.
Responsibilities:
- Assist service manager and work as part of a team, ensuring smooth operations.
- Monitor service requests, ensuring such requests are responded to, and tracked from intake to completion.
- Coordinate with customers to understand their roofing needs and provide exemplary customer service, including prompt updates.
- Create work orders and quote orders ensuring client requests are accurately captured and placed in que for scheduling.
- Assist in material procurement for scheduled work and order materials as needed.
- Map job routes to reduce travel time and schedule appointments accordingly.
- Understand scope of work to schedule jobs with weather, time constraints, and priority in mind.
- Provide support to a team of roofing technicians, ensuring work orders are is up to date and accurate.
- Ensure compliance with safety regulations and industry standards.
- Maintain accurate project documentation, including records of work performed, materials used, and customer communication.
- Stay updated on industry trends, new materials, and techniques, and make recommendations for process improvements to enhance efficiency and quality.
- Availability to be on-call after hours on a rotational basis for emergency calls.
- Ensure confidentiality is strictly adhered to.
- Own tasks and complete assignments in a timely manner.

- Exceptional problem-solving and decision-making skills, with the ability to handle multiple tasks simultaneously.
- Ability to prioritize tasks to effectively support teammates, leave tasks on moments notice and resume tasks as needed
- Excellent communication and interpersonal skills, with the ability to effectively collaborate with various stakeholders, including customers, contractors, and internal teams.
- Proficiency in using MS, Outlook, scheduling tools, and other relevant computer applications.
