Overview
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will possess strong office skills, excellent communication abilities, and proficiency with various software tools. This role involves managing clerical tasks, providing exceptional customer service, and ensuring the smooth functioning of daily administrative processes. Prior experience in medical or dental office settings is a plus, along with familiarity with QuickBooks, Microsoft Office, and Google Workspace.
Responsibilities
- Manage front desk duties, including greeting visitors and answering multi-line phone systems with professionalism and courtes
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooksMaintain organized filing systems both electronically and physically, including document proofreading and record keepingHandle customer support inquiries via phone or email, providing excellent phone etiquette and customer service
- Assist with scheduling appointments, managing calendars, and coordinating meetings
- Support bookkeeping activities such as invoicing, billing, and basic bookkeeping tasks using QuickBooksPrepare correspondence, reports, and other administrative documents with attention to detailSupport office operations by managing patient records, insurance paperwork, and appointment reminders (if applicable)
- Perform general clerical duties including photocopying, faxing, and maintaining office supplies
- Requirements
- Proven experience in an administrative or clerical role; experience in medical or dental offices is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooksStrong computer skills with the ability to learn new software quickly
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional data entry accuracy and proofreading skillsOutstanding customer service abilities with professional phone etiquetteAbility to handle multiple tasks simultaneously in a fast-paced environment
- Experience with front desk operations and multi-line phone systems preferredCorresponding with Motor Vehicle adjusters, Workers Compensation Board Case Managers and other insurance company representativesStrong typing skills and attention to detail are essential for success in this role

Pay: $18.00-$20.00 per hour
