Senior Administrative Assistant
Job Summary
We are seeking a highly organized and detail-oriented Senior Administrative Assistant to support our team with a variety of clerical and administrative tasks. The ideal candidate will possess strong office experience, excellent communication skills, and proficiency in relevant software tools. This role involves managing schedules, handling correspondence, maintaining records, and providing exceptional customer service to internal and external stakeholders. The Senior Administrative Assistant will play a vital role in ensuring the smooth operation of our office environment and supporting leadership with administrative needs.
Responsibilities
- Manage and coordinate appointments using Microsoft Outlook Calendar and Google Workspace
- Handle incoming calls with professional phone etiquette on multi-line phone systems and front desk duties
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Maintain bookkeeping records using QuickBooks and assist with basic bookkeeping tasks
- Prepare correspondence, reports, and presentations utilizing Microsoft Office applications
- Assist with customer service inquiries via phone, email, or in person, ensuring a positive experience
- Use DocuSign for electronic document signing and management
- Support administrative projects such as organizing meetings, preparing agendas, and managing office supplies
- Ensure confidentiality of sensitive information and uphold organizational policies
- Collaborate with team members to improve office procedures and workflows
- Make Insurance claims and submit them
- Track incoming payments
- Track account receivables
Requirements
- Proven administrative experience, preferably in an office setting
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience with QuickBooks for bookkeeping tasks is highly desirable
- Strong organizational skills with the ability to multitask effectively
- Excellent written and verbal communication skills, including phone etiquette
- Ability to type accurately and efficiently for data entry tasks
- Experience with multi-line phone systems and front desk responsibilities
- Attention to detail for proofreading documents and maintaining records
- Familiarity with DocuSign or other electronic signature platforms is a plus
- Demonstrated ability to handle confidential information discreetly
