Job Summary
As the Office Administrator, you will be responsible for managing daily administrative tasks, maintaining efficient office workflows, and ensuring a welcoming environment for clients and staff alike. Work hours are between 30-35 hours per week, however, specific daily hours may vary depending on practitioners' scheduling needs. We are seeking a highly organized and proactive person with superior written and spoken English, attention to detail, and experience with computers (Windows) and office administration. Previous experience in a fast-paced medical or psychology practice will be an asset. The ideal candidate will be responsible for office duties such as answering the phone, coordinating clients with therapists, emailing, and scheduling appointments. Duties
- Manage front desk, including greeting clients, answering the phone and providing exceptional customer service.
- Maintain accurate records using software such as Jane App and Microsoft Office.
- Scanning files, organize documents, and ensure confidentiality of information.
- Support appointment scheduling and coordinate calendar management for clinicians.
- Assist with billing procedures, invoicing, and basic bookkeeping tasks to ensure accurate financial records.
- Experience submitting claims (WSIB, Blue Cross, and Telus Health).
- Superior ability to multitask, think in advance, and anticipate needs.
- Maintain office supplies inventory and coordinate procurement as needed.
- Professional correspondence and documentation.
- Maintaining office cleanliness weekly, including vacuuming and light cleaning
- Able to work efficiently in a self-driven environment.
- Proven clerical experience with a strong background in office administration within healthcare or similar environments.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace
- Excellent organizational skills with the ability to multitask in a fast-paced setting.
- 5+ years of experience working in a busy office environment with other psychologists/therapists is an asset.
- Ownership of a vehicle to work onsite or run errands for the office as needed, is required.
- Must be Canadian Citizen or Landed Immigrant.
